The Business Support Assistant supports operational processes related to partnerships and reporting, ensuring effective service delivery through administrative and financial tasks, data management, and knowledge management. The role involves supporting the preparation of reports, maintaining institutional knowledge repositories, and providing guidance to less experienced colleagues.

Responsibilities

  • Collect information for inclusion in reports, documents, and correspondence to support effective work of other staff.
  • Respond to standard inquiries and provide timely and accurate guidance.
  • Process and manage routine administrative and financial tasks across various functional areas to contribute to effective and timely resource management.
  • Manage and maintain records and databases to ensure well-organized information and easy access for staff.
  • Maintain relationships with a wide range of people by providing operational support to facilitate information exchange and service delivery to staff.
  • Correct reports, documents, correspondence, etc., making changes online as appropriate in line with established guidelines.
  • Contribute to the improvement of operational procedures and processes.
  • Collect and perform basic data analysis to contribute to quality management of operational information.
  • Provide guidance to less experienced colleagues in performing their duties.
  • Support country office knowledge management leadership by designing, implementing, and continuously improving an institutional system to organize, preserve, and strategically use information, knowledge products, and institutional memory, contributing to an integrated view of WFP operations in Honduras.
  • Manage and strengthen the institutional knowledge repository in Teams, establishing governance, classification, version control, updating, and archiving criteria; coordinate information collection and validation with responsible units; ensure key documents, data, and resources are reliable, accessible, and easy to locate.
  • Keep the country office reporting matrix updated, incorporating donor submission deadlines, templates, and applicable requirements; follow up on established milestones and communicate dates and responsibilities to relevant units and actors.
  • Prepare and consolidate complete and high-quality drafts of donor reports and other institutional products, ensuring narrative coherence, accuracy, compliance with applicable requirements, and timely submission for review by the Head of the Unit of Partnerships and Reporting and the country office management team.
  • Support preparation and drafting of the Annual Country Report and other institutional products, ensuring traceability of sources, data consistency, and systematic use of knowledge generated by the country office.
  • Perform other tasks as required.

Requirements

  • Completion of secondary education; post-secondary or university certificate in relevant fields such as international relations, political science, development studies, communications, administration or related areas is desirable.
  • Minimum of five years of professional experience with increasing responsibilities in operational support and general administrative tasks.
  • Knowledge of common specialized operational practices and methods acquired through technical training and relevant experience.
  • Ability to develop and maintain relationships to provide high-quality support services.
  • Capacity to perform basic data analysis and independently solve problems requiring attention.
  • Ability to supervise and record financial transactions.
  • Good communication skills to exchange information and work with diverse people.
  • Experience and knowledge in knowledge and information management, including administration of collaborative repositories, document classification and version control, systematization of best practices and lessons learned, and preparation of knowledge products to support decision-making and institutional learning.
  • Ability to maintain confidentiality.
  • Spanish language proficiency at level C and English at level B.
