See your match score & applyThe Vehicle Control Officer is responsible for planning, controlling, and coordinating the allocation and use of Agency vehicles and drivers to support Field Office operations efficiently and cost-effectively. The role includes supervising a large team, ensuring vehicle safety and maintenance, managing vehicle licensing and insurance, and overseeing vehicle disposal processes.
Responsibilities
- Plan, control and coordinate the allocation, operating schedule and use of Agency vehicles and drivers in a cost effective and rational manner.
- Monitor and execute ERP and agency fleet management systems (Feetwave, Fleetlog) to ensure efficient and up to date record keeping and efficient use of the Fleet.
- Ensure care, custody, cleanliness, safety and effective utilization of Agency vehicles and fuel is maintained.
- Enforce vehicle movement discipline, undertake spot checks to ensure compliance with agency standards, damage reporting and safety breaches are correctly reported and investigated.
- Prepare investigation reports, manage losses, mishandling and damages involving Agency vehicles, deal with insurance agents and prepare survey reports as required.
- Prepare and maintain accurate records related to drivers’ responsibility, travel subsistence and other allowances.
- Administer the issue of transport permits for home/office transport in coordination with other departments and ensure all charges are accounted for and recovered as necessary.
- Plan and obtain vehicle licensing and ensure all Agency drivers are licensed to drive assigned vehicles.
- Manage and supervise armored vehicles transportation programs in coordination with Safety and Security Section ensuring safety measures are applied.
- Utilize budget transactions within ERP to assist in preparing the annual budget for vehicle control operations.
- Oversee surveying and disposal of old fleet in line with property management manual.
- Perform other duties as assigned by the supervisor.
Requirements
- A university degree from an accredited educational institution in transportation management, business administration, public administration, commerce or other related field.
- Minimum of three years of relevant experience in logistics, vehicle and transport management related function.
- Experience in managing vehicle insurances, overseeing and scheduling vehicle inspections is required.
- Experience in vehicle registration and disposal/write off processes and procedures including obtaining approvals with relevant authorities is required.
- Currently residing in Duty Station (Amman, Jordan) and within commuting distance with authorization to work in the duty station at the time of application.
- Experience in working with the UN rules and regulations is desirable.
- Experience in overseeing regular vehicle maintenance and servicing to minimize downtime is desirable.
- Experience in maintaining vehicle information and inspection records is desirable.
- Experience in using transport management specific software or database applications is desirable.
- Good knowledge of local traffic rules and regulations is desirable.
- Possession of a valid local driving license is desirable.
- Possession of CILT Certificate is desirable.
- Good understanding of the context of Palestine refugees and UNRWA operations is desirable.
