The Senior Administrative Assistant provides comprehensive administrative support and office management functions to supervisors in the Area Office Jerusalem. The role includes managing schedules, coordinating meetings, handling travel arrangements, procurement processes, budget assistance, and HR coordination within the West Bank administration and support services.

Responsibilities

  • Perform full range of office management and administrative support functions providing direct assistance to Chief of programme/department head or area office.
  • Monitor schedules and arrange meetings and appointments; prepare travel documents and follow up on travel arrangements.
  • Draft and prepare official routine correspondences and replies; act as liaison between departments ensuring effective communication and coordination.
  • Attend and coordinate staff meetings, reserve equipment and conference rooms, support committees and task forces, take meeting minutes and deliver timely reports.
  • Monitor and manage office supplies, process payments for vendors and suppliers, manage purchase requests and follow up on procurement processes.
  • Coordinate logistical preparations for workshops, conferences, and events; act as member of tender opening committee when required.
  • Conduct routine research; gather and compile information; check, analyse and consolidate statistical reports.
  • Assist in managing budget using ERP system, maintain accurate records, and monitor expenditures.
  • Verify bills against set terms and conditions ensuring accuracy and compliance; ensure eligibility of beneficiaries for services and coordinate timely data entry.
  • Assist in coordinating HR matters including new appointments, separations, and overtime.
  • Perform other duties as assigned by the supervisor.

Requirements

  • Successful completion of full secondary education and Two years diploma in business and office practice or related discipline.
  • At least four years of relevant experience, preferably in administration, and/or office management.
  • Experience in MS Office applications is required.
  • Candidates must reside in West Bank or Jerusalem and have authorization to work in the duty station at the time of application.
  • English language proficiency at UN Level II is required.
  • Arabic language proficiency at UN Level I is desirable.
