The Human Resources Assistant supports various HR functions including maintaining records, assisting in recruitment, processing personnel contracts, and supporting performance management activities. The role requires accuracy, confidentiality, and good knowledge of HR systems and procedures.

Responsibilities

  • Check various human resources records, forms and tables for accuracy and initiate corrective action as required.
  • Maintain and update records and other files and follow up as necessary.
  • Review documents and certificates related to the section before processing them on the Human Resources Management (HRM) System.
  • Draft routine correspondences, fill out Personnel Action Forms and other forms.
  • Collect and compile information from files and prepare or assist in preparing and updating routine statistical and other periodic reports related to the functions of the relevant division/section.
  • Participate in recruitment activities including job advertisement, screening, administering written assessments, participating in interviews as HR ex-Officio and preparing recruitment packages.
  • Deal with complementary personnel contracts and documents including verification, obtaining approvals, data entry, collecting attendance and reviewing payroll results.
  • Receive, register and distribute incoming mail and dispatch outgoing mail.
  • Attend to reproduction, collation and stapling of various documents and materials.
  • Ensure scanning of all documents for official status files and proper filing and maintenance of personnel records and files.
  • Assist in briefing new staff members and retirees and respond to queries from staff members on HR matters.
  • Enter data on HRM System related to payroll, entitlements or movements and records as applicable.
  • Participate in performance management activities including supporting staff and supervisors in completing the electronic performance management system, generating reports, maintaining the library of objectives for generic positions, tracking status of staff under probation or Opportunity to Improve (OTI), drafting and preparing necessary letters to staff.
  • Relieve counterparts in other HR teams, sections or divisions as needed.
  • Perform other duties as assigned by the supervisor.

Requirements

  • Successful completion of full secondary education.
  • Two-year post-secondary diploma in human resources management, Business Administration or related subject.
  • Very good command of spoken and written English and Arabic.
  • Knowledge of UNRWA’s Staff Rules and Regulation is preferred.
  • Prior knowledge in HR processes and experience in HRM systems is preferred.
  • Ability to maintain confidentiality.
  • Demonstrated computer skills; good knowledge of databases, spreadsheets and other applications used by the Agency.
  • Candidates must reside in Jordan and be within commuting distance of the duty station with authorization to work in Jordan at the time of application.
