The Administrative Assistant provides administrative support including documentation, correspondence, meeting arrangements, and mail handling. The role involves coordination with various departments for procurement, finance, health operations, and logistical support for events, ensuring smooth office and program operations.

Responsibilities

  • Handle administrative functions including documentation, correspondence, meeting arrangements, and mail, escalating issues as necessary
  • Respond to inquiries from staff members and update internal communications lists
  • Follow-up on actions related to Human Resource activities such as appointments, separations, and issuance of insurance cards
  • Manage general services including lease agreements, service contracts, mail operations, and record maintenance
  • Draft and prepare ERP transactions related to procurement and assist in tender document preparation
  • Assist in finance matters including budget preparation, expenditure review, and monitoring office supplies
  • Support healthcare operations including patient eligibility verification, registration, EMR management, appointment scheduling, and referral management
  • Compile information on patient referrals and ensure compliance with hospitalization instructions
  • Arrange and provide logistical support for meetings, workshops, and events and coordinate vehicle dispatching
  • Perform other duties as assigned by the supervisor

Requirements

  • Successful completion of full secondary education
  • Successful completion of two-year post-secondary course in business and office practice or a related discipline
  • At least two years of experience in administrative work is required
  • English language proficiency at UN Level II in reading, writing, listening, and speaking
  • Candidates must reside in Syria and have authorization to work at the duty station at the time of application
  • Candidates must provide complete and accurate information in the application
  • Candidates will be subject to reference and background checks including verification of academic credentials, employment history, and security clearances
