See your match score & applyThe Associate Project Management Officer provides substantive support to the planning, coordination, and execution of project activities under the CDESC project. The role collaborates closely with project stakeholders to maintain effective coordination, facilitate operations, and ensure efficient delivery of activities in compliance with the project results framework and internal processes.
Responsibilities
- Support senior technical leaders or project managers in stakeholder engagement, training needs assessment, and capacity building program development.
- Contribute to budget preparation, procurement processes, and risk identification with mitigation measures.
- Assist in drafting project agreements, amendments, and budget revisions in consultation with relevant stakeholders.
- Coordinate logistics for training sessions, workshops, and meetings including venues, materials, accommodation, catering, evaluations, and certification.
- Support development of training materials and integration of thematic inputs into implementation.
- Liaise with service providers, consultants, and stakeholders to ensure effective project implementation.
- Facilitate internal and external communications to minimize operational disruptions and maintain continuity of execution.
- Develop and update monitoring tools, tracking spreadsheets, and risk/issue logs.
- Collect, prepare, and archive documentation related to training and project activities.
- Contribute to preparation and quality assurance of reports, meeting minutes, and submissions to donors/partners.
- Monitor project milestones and alert managers about deadlines and reporting requirements.
- Ensure compliance with UNOPS policies, procedures, and donor requirements.
- Coordinate procurement, travel, transport, and inventory management in support of project operations.
- Support project HR requirements such as drafting terms of reference for positions, monitoring deliverables, recruitment activities, etc.
- Manage project files, shared drives, and document management systems to ensure traceability and real-time accessibility.
- Support organization, facilitation, and delivery of project management trainings and learning sessions.
- Participate in knowledge sharing initiatives and Communities of Practice, contributing lessons learned and insights.
- Conduct research on project management topics and contribute to reports, briefs, and information notes.
Requirements
- High school diploma (or equivalent) with 6 years of relevant experience OR Bachelor's degree in Social Sciences, Law, International Relations, Social Work, Education, Sustainable Development, Economics, or related fields with 2 years of relevant experience.
- Professional certification in project management or membership in project management recognized internationally is desirable.
- Master's degree in Social Sciences, Law, International Relations, Social Work, Education, Sustainable Development, Economics, or related fields is desirable.
- Relevant experience in project management or related areas is required.
- Demonstrable proficiency in collaboration and productivity tools (e.g., MS Office, G-Suite) and web-based management systems is required.
- Experience in multicultural environments or UN system organizations is desirable.
- Experience in development or humanitarian contexts is desirable.
- Relevant experience in administrative activities and/or knowledge management in racial equality policies and actions is desirable.
- Experience in conducting collegiate bodies is desirable.
- Fluent Portuguese language skills are required.
- Basic English language skills are required.
