The Associate will provide substantive support to project planning, coordination, and execution activities, working closely with stakeholders to maintain effective coordination, facilitate operations, and ensure efficient implementation in compliance with project results framework and internal processes. The role supports initiatives related to drug use prevention and protection of children and adolescents against violence and crime under the UNODC project in Brazil.

Responsibilities

  • Support senior technical leadership in stakeholder engagement, capacity needs assessment, and development of capacity strengthening programs.
  • Contribute to budget preparation, procurement processes, risk identification, and mitigation measures.
  • Assist in drafting project agreements, amendments, and budget revisions in consultation with relevant stakeholders.
  • Coordinate logistics for training sessions, workshops, and meetings including venues, materials, accommodation, catering, evaluations, and certification.
  • Support development of training materials and integration of thematic contributions to activity implementation.
  • Liaise with service providers, consultants under retainer, and project stakeholders to ensure effective implementation.
  • Facilitate internal and external communications to minimize operational disruptions and maintain project continuity and consistency.
  • Develop and update monitoring tools, progress tracking spreadsheets, and risk and issue logs.
  • Collect, prepare, and archive documentation related to training activities and the project.
  • Contribute to preparation and quality assurance of reports, meeting minutes, and documents submitted to donors and partners.
  • Monitor project milestones and alert managers about deadlines and reporting requirements.
  • Ensure compliance with UNOPS policies and procedures and donor requirements.
  • Coordinate procurement, travel, transport, and inventory management processes supporting project operations.
  • Support project human resources needs such as drafting terms of reference, monitoring deliverables, recruitment activities, among others.
  • Manage project files, shared units, and document management systems to ensure real-time tracking and accessibility of information.
  • Support organization, facilitation, and delivery of training and learning sessions on project management.
  • Participate in knowledge sharing initiatives and Communities of Practice, contributing insights, experiences, and lessons learned.
  • Conduct research on project management related topics and contribute to reports, summaries, and briefing notes.

Requirements

  • Ensino médio completo (ou equivalente) com 6 seis anos de experiência relevante ou Graduação, ou equivalente, em Administração Pública, Relações Internacionais, Ciências Sociais, Comunicação, Direito, ou áreas correlatas, com 2 dois anos de experiência relevante.
  • Experiência relevante em atividades de apoio à gestão de projetos ou em áreas correlatas.
  • Proficiência comprovada na utilização de ferramentas de colaboração e produtividade, como Microsoft Office e Google Workspace, bem como de sistemas de gestão baseados na web.
  • Experiência na gestão de arquivos e na preparação de documentação administrativa e correspondências.
  • Alguma experiência de trabalho em organização do Sistema das Nações Unidas poderá ser considerada um diferencial.
  • Experiência comprovada em apoio à gestão de projetos, incluindo a organização de logística, compras (aquisições), viagens ou eventos.
