The Registration Associate supports all activities related to registration, ensuring effective identification of specific protection needs, management of operations, and achievement of durable solutions. The role involves supervising registration activities, conducting interviews, maintaining records, and collaborating with protection and programme colleagues to provide quality population data.

Responsibilities

  • Implement UNHCR's Registration Standard Operating Procedures (SOPs) according to relevant standards and policies
  • Ensure persons of concern have fair and transparent access to registration procedures
  • Assist in the implementation of registration strategies and methodologies for populations of concern
  • Assist in supervision and daily running of registration team activities as required
  • Conduct registration interviews in accordance with registration standards and guidance
  • Provide counselling and respond to queries from asylum seekers and refugees regarding registration procedures and their rights and entitlements
  • Maintain accurate and up-to-date records and data related to all registration cases
  • Identify persons with specific needs and ensure timely referral to protection follow-up
  • Collaborate with protection staff and/or partners in delivering assistance and programming, including provision of identity and entitlement documentation
  • Draft correspondence and reports related to registration activities as required
  • Provide statistics and draft reports related to registration data as requested
  • Make decisions related to day-to-day operations of the registration unit and devise efficient registration procedures in consultation with supervisor
  • Support identification and management of risks and seek opportunities impacting objectives in area of responsibility
  • Perform other related duties as required

Requirements

  • 3 years relevant experience with High School Diploma; or 2 years relevant experience with Bachelor or equivalent or higher
  • Certificates and/or Licenses: Social Science, Statistics, Mathematics, Information Technology
  • Good computer skills, particularly in data management
  • Training in basic principles of international protection (desirable)
  • Experience in working with UNHCR proGres software and Digital Gateway (desirable)
  • Functional Skills: IT-Computer Literacy (essential), DM-Data Management (essential), DM-Data Collection and Analysis, IT-IT Refugee Systems & Applications, PG-Programme Management, TR-Training/Coaching/Facilitation, EX-Experience in international organization, PR-Experience in Registration
  • Fluency in English and Malay languages
