The Individual Giving Assistant supports the Private Sector Partnerships Service in mobilizing resources from individual donors through various fundraising channels. The role involves donor acquisition, retention, servicing, data management, and supporting fundraising campaigns to maximize donor engagement and revenue.

Responsibilities

  • Work on implementation of acquisition, donor retention and development programmes as per approved annual plan(s).
  • Provide front-line customer service for inbound donor inquiries via phone, email, and mail.
  • Develop dashboard and KPI reporting to identify opportunities to maximize donor lifetime value.
  • Assist in procurements related to Individual Giving activities including preparation of RFQs or RFPs.
  • Liaise, monitor and review outsourced vendor services performance such as data entry, telemarketing, letter shopping services.
  • Prepare regular progress reports on acquisition and donor care KPIs.
  • Liaise with bank and payment platforms to ensure timely and accurate payment collections.
  • Support donor care and fundraising events including tracking, reporting and planning assistance.
  • Work closely with supervisor to design, implement, monitor and optimize Donor Acquisition programmes and ensure KPIs are met.
  • Conduct telephone fundraising campaigns as required.
  • Compile and analyse data from Donor Acquisition agencies and report regularly.
  • Participate in recruitment and orientation of Donor Acquisition fundraisers.
  • Monitor effectiveness of Donor Acquisition campaign locations.
  • Manage and enhance relationships with existing and prospective donors ensuring continued engagement.
  • Maintain accurate donor profiles and records in CRM systems.
  • Ensure effective communication of donor acknowledgments and receipting processes.
  • Manage monthly donor retention and reactivation activities including donor service letters and communications.
  • Collaborate with Individual Giving team to create donor-focused content.
  • Respond promptly and professionally to donor inquiries, concerns and requests.
  • Deal with donor requests and manage complaints.
  • Support producing online and offline communication to enhance donor loyalty.
  • Produce reports and analysis to enhance programme performance and donor retention.
  • Support donor service toll free number activities.
  • Execute data entry for outbound and inbound campaigns.
  • Update fundraising database with donor and campaign data.
  • Assist in gift processing and ensure accuracy of appeal coding details.
  • Support internal teams on gift tracking, coding processes and reporting.
  • Assist in management of third-party vendors through performance monitoring and update calls.
  • Assist in office-based administrative duties including inventory management related to individual giving programs.

Requirements

  • For G4 - 1 year relevant experience with High School Diploma; or Bachelor or equivalent or higher
  • Knowledge or experience in private sector fundraising, sales, client/donor communication, marketing, or journalism.
  • Participation in fundraising campaigns in profit or non-profit industry.
  • Ability to maintain databases and software in fundraising.
  • Understanding of the non-profit sector (desirable).
  • Knowledge of database migration and setting up a Contact Relationship Management (CRM) system (desirable).
  • Project management experience (desirable).
  • Vendor management experience (desirable).
  • Experience in data analysis and segmentation (desirable).
  • Certificates and Licenses in Public Administration, Business Administration, Economics, or other related field.
  • Knowledge of English and/or UN working language of the duty station if not English.
  • Applicants must be legally eligible to work in Canada at the time of application (Canadian citizen, Permanent Resident, or valid work permit).
