Fuel Logistics Associate

The Fuel Logistics Associate supports the implementation of the UNHCR fuel management framework to improve budgeting, procurement, storage, consumption, monitoring, and reporting of fuel in field operations. The role coordinates logistics operations related to bulk fuel tank leasing and facility upgrades, ensuring transparency and efficiency in fuel management processes.

Responsibilities

• Support the implementation of the Standard on Fuel Management in UNHCR, including familiarisation with fuel management practices and systems.
• Coordinate logistics operations related to bulk fuel infrastructure upgrades, ensuring adherence to UNHCR supply chain procedures.
• Cooperate with country supply teams to capture operational requirements for procurement and logistics planning.
• Prepare and maintain shipping plans for bulk fuel tank upgrade kits and leased bulk fuel tanks.
• Liaise with freight forwarders and suppliers to arrange transportation by sea and road.
• Provide operations with documentation to facilitate import permissions.
• Monitor shipment timelines, customs clearance, and final delivery to operational sites.
• Support local logistics activities during upgrades, including telematics deployment and systems integration.
• Contribute to preparation of regular reports on fuel-infrastructure logistics.
• Ensure data accuracy in ERP systems and maintain tracking sheets and records.
• Oversee registration of existing bulk fuel tanks in field operations.
• Assist with planning, delivery, and installation of fuel tank upgrade equipment.
• Maintain accurate and transparent record-keeping across logistics processes.
• Contribute to identifying and selecting appropriate technical and logistical solutions in line with UN procurement principles.
• Coordinate distribution of fuel-quality and quantity-control toolkits between country offices and bonded warehouse.
• Perform various administrative tasks and support deployment and management of new solutions and systems.

Requirements

• Degree in logistics, supply chain management, or a related engineering discipline.
• At least five years of relevant experience in the area of international logistics and supply management, with experience in ERP systems.
