See your match score & applyThe Programme Management Assistant supports planning and implementation activities for complex departmental programmes/projects within the Compliance Assistance Programme for South Asia. The role involves coordination, monitoring, financial management, reporting, and administrative support to ensure effective programme/project delivery.
Responsibilities
- Provides assistance in support of planning and implementation activities/processes for a large and highly complex component of departmental programme/project initiatives.
- Researches, compiles, analyses, summarizes, and presents basic information/data on specific programmes/projects and related topics.
- Assists in the coordination of programme/project planning and preparation; monitors status of programme/project proposals; ensures project documents are completed and submitted for approval.
- Assists in the preparation and analysis of programme/project budget proposals; interprets budget guidelines; reviews and coordinates submissions ensuring completeness and justification.
- Assists in monitoring and evaluation of programmes/projects; categorizes, updates, tracks and analyses data related to programmes/projects including accounting records and resource utilization.
- Collaborates with programme/project managers on performance reporting; liaises with relevant parties on activity interpretation and reporting requirements.
- Drafts programme/project summaries and coordinates project review and clearance processes.
- Serves as focal point for coordination, monitoring and expedition of programme/project implementation activities involving liaison with diverse organizational units.
- Prepares, maintains and updates files and internal databases.
- Drafts correspondence and communications related to programme/project administration including workplans and budgets.
- Assists with logistical arrangements for meetings and workshops including participant registration, travel and DSA payments.
- Maintains tracking tables related to projects, contracts, payments, translations and follows up as needed.
- Assumes responsibility for administrative and financial actions in UMOJA and other IT tools including IPMR, expenditure recording, financial authorizations, iNeed requests, management of business partners and bank details.
- Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, knowledge management, planning and decision making.
- Assists with visualizations and updating information material such as web pages or brochures.
- Performs other duties as assigned.
Requirements
- High school diploma or equivalent.
- Relevant training in office electronic equipment, MS Word, Excel, and PowerPoint is desirable.
- A minimum of seven (7) years of experience in programme or project administration, financial management technical cooperation or related area is required.
- The minimum years of relevant experience is reduced to five (5) for candidates with a first-level university degree or higher.
- Experience working with an Enterprise Resource Planning (ERP) system, such as Umoja is desirable.
- One (1) year or more of experience in data analytics or related area is desirable.
- Experience working in the United Nations common system or similar international organization is desirable.
- English language proficiency at UN Level II for reading, writing, listening, and speaking.
