See your match score & applyThe Finance & Administration Associate will support the daily management of the project’s activities under the supervision of the Project Manager/PFM Advisor. The role involves financial and administrative support to the Pro PALOP-TL SAI (Phase III) Management Unit and other countries, facilitation of knowledge building and sharing, and ensuring corporate alignment with UNDP Programme and Operations Policies and Procedures.
Responsibilities
- Provide financial and administrative support to the Pro PALOP-TL SAI (Phase III) Management Unit and other countries
- Facilitate knowledge building and knowledge sharing within the scope of the Pro PALOP-TL SAI (Phase III)
- Support management of the Country Office programme to ensure corporate alignment between the project and UNDP Programme and Operations Policies and Procedures (POPP)
- Produce all project financial reports required by UNDP rules and procedures and EU contractual requirements
- Ensure reconciliation of all accounts and financial reports as required
- Create requisitions in Quantum for development projects and register goods receipt in Quantum
- Make budget checks for requisitions, Purchase Orders and invoices
- Maintain the internal expenditures control system for the project
- Implement timely corrective actions on unposted vouchers and invoices with errors
- Implement M&E recommendations related to financial and administrative corrective measures
- Support organization of trainings delivered by the project in all beneficiary countries
- Contribute regularly to relevant knowledge networks and communities of practice
- Collect, analyze and present background information for preparation of UN Development Assistance Framework, Country Programme Document, and other planning documents
- Perform other duties as necessary for efficient functioning of the Office and Organization
Requirements
- Bachelor's Degree with 3 years of experience OR High School certificate with 6 years of experience
- Secondary Education with specialized certification in accounting and/or Finance required; University degree in Finance or Accounting is desirable
- Part-qualified accountants from an internationally accredited institute of accountancy have a distinct advantage
- Fully Qualified Accountant from an internationally accredited institute of accountancy or full completion of the UNDP Finance Training and Certification Programme (FTCP)
- Candidates with no professional accountancy qualifications but with degrees majoring in accountancy and/or finance must complete UNDP Finance Training and Certification Programme (FTCP) if recruited
- Experience using computers and office software (MS Word, Excel, etc.) and advanced knowledge of spreadsheets and web-based management systems such as ERP financial systems and databases
- Minimum of 6 years of experience with secondary education or 3 years with bachelor’s degree in project finance and administration is required
