See your match score & applyThe Associate in Infrastructure Project Management will provide comprehensive technical and administrative support for planning, monitoring, physical-financial control, document management, logistical coordination, and operational follow-up of the project, ensuring traceability, product control, deadline compliance, and proper coordination among stakeholders. The role supports operational management through contract monitoring, reporting, risk management, and contributes to capacity building and knowledge sharing within the project framework.
Responsibilities
- Monitor physical and financial progress of the project, consolidating budget execution, contract progress, milestones and deliverables information.
- Support updating and control of schedules, tracking matrices, control dashboards and project progress indicators.
- Consolidate technical, administrative and financial information for project implementation monitoring and decision-making support.
- Follow up on commitments, agreements, products and key dates related to contracts, consultancies and project processes.
- Identify deviations, operational alerts and risks related to deadlines, deliverables or budget execution, informing the project team timely.
- Implement and maintain document control and traceability mechanisms ensuring organization, integrity, updating and availability of project documents.
- Manage physical and digital files related to contracts, reports, acquisitions, correspondence, plans, technical products, minutes and supporting documentation.
- Ensure correct coding, version control, storage and document tracking of the project.
- Follow up on review, validation and approval flow of technical and administrative documents.
- Consolidate repositories and document control tools aligned with UNDP institutional procedures and standards.
- Provide administrative and operational follow-up to contracts, consultancies and services linked to the project.
- Monitor timely delivery of products, reports and contractual deliverables from consultants, supervising firms, specialists and contractors.
- Verify compliance with administrative and documentary requirements related to payments, products and contractual processes.
- Coordinate with technical specialists and administrative area the review and traceability of deliverables.
- Maintain updated control matrices of contracts, products, payments, validity and contractual compliance.
- Provide logistical and administrative support for meetings, workshops, field visits, technical missions and project operational activities.
- Coordinate operational aspects related to agendas, calls, logistics, transport, reservations, materials and activity follow-up.
- Support administrative and operational processes related to acquisitions, hiring and supplier management.
- Coordinate collection of information and documentation required for internal project processes.
- Facilitate operational articulation among project team, consultants, contractors, UNDP and other involved parties.
- Consolidate and prepare periodic reports on physical-financial progress, operational follow-up and project implementation status.
- Collect, organize and analyze information for monitoring, audit, internal reviews and institutional reports.
- Follow up on compliance with observations, corrective actions and operational commitments of the project.
- Support updating risk matrices, lessons learned and project monitoring tools.
- Contribute to strengthening internal control, follow-up and operational management mechanisms of the project.
- Support creation, sharing and strengthening of knowledge and relevant capacity development for the project.
- Participate in training and organize informational sessions on internal procedures for project staff.
- Support other capacity strengthening activities including design and delivery of tools, workshop materials or platforms leveraging collective intelligence and mobilizing action.
- Support dissemination and exchange of relevant data and lessons learned within the country office and regionally.
- Stay informed of emerging best practices nationally, regionally and internationally related to project work.
- Make valuable contributions to knowledge networks and communities of practice.
- Support collection and systematization of project knowledge, products and tools and their wide distribution to partners.
- Perform other functions within functional profile as necessary for efficient office and organizational functioning.
Requirements
- Bachelor's Degree in Business, Business Administration, Public Administration or related fields with 4 years of relevant experience or High School certificate with 7 years of relevant experience.
- Minimum seven (7) years (with Secondary Education) or four (4) years (with University Degree) of relevant experience in administration, operational control, financial monitoring, project coordination or document management in infrastructure, construction, international cooperation or related areas.
- Experience in physical-financial project monitoring, deliverables control, document management and process traceability.
- Experience using web-based management systems and project tracking tools.
- Experience with computers, software packages (MS Word, Excel, PowerPoint, Teams, SharePoint or others) and automated administrative and financial management systems.
- Experience in ERP Quantum is desirable.
- Experience in infrastructure projects, construction, works supervision or contract management is desirable.
- Experience in administrative and financial management in projects of UNDP, UN System, multilateral organizations or international cooperation agencies is desirable.
- Experience in preparation and consolidation of operational, financial and project monitoring reports is desirable.
- Experience in monitoring schedules, tracking matrices, milestone control and risk management is desirable.
- Advanced Microsoft Excel skills including pivot tables, budget tracking and control tools is desirable.
- Knowledge of procurement and contract management processes in national or international organizations is desirable.
