Responsibilities
- Support administrative and financial management of the Project Portfolio to ensure timely and efficient implementation according to UNDP norms and procedures.
- Monitor execution of activities according to expense schedules and work plans, ensuring compliance with UNDP financial management and reporting requirements.
- Assist in budget control to ensure project activities remain within approved limits and UNDP standards.
- Coordinate reconciliation of project expenses and commitments with UNDP systems (Quantum) and financial reports for donor presentation.
- Monitor, review and adjust the Project Portfolio budget in coordination with UNDP Program Unit as needed.
- Follow up on administrative, accounting and financial processes to avoid contract breaches.
- Maintain updated inventory records of physical resources under custody, ensuring proper use until final disposition.
- Keep project documentation updated including work plans, acquisition plans, financial report status, payment requests and approvals.
- Support mobilization of external personnel and project staff (processing requests, travel advances and settlements) in line with UNDP policies.
- Assist in procurement and contracting processes for goods, services and individuals, managing travel arrangements according to UNDP policies and best practices.
- Interact with Quantum system for management of requisitions, purchase orders, vendors, vouchers and related.
- Coordinate logistics for workshops, meetings and events for the project.
- Participate in training and organize information sessions on internal procedures.
- Perform other functions within the functional profile as needed for efficient office and organizational operation.
Requirements
- Secondary education completed is required.
- University studies (Bachelor's degree) in Administration, Accounting or related fields will be duly considered but not required.
- Minimum 6 years of relevant work experience with secondary education or 3 years with a Bachelor's degree in administrative and financial management of projects (documentation, logistics, contracting, travel, personnel management, budget handling, expense control, etc.) in public, private or civil society organizations.
- Experience using ERP systems.
- Experience with office software packages (MS Word, Excel, etc.) and web-based management systems, with advanced knowledge of spreadsheets and databases.
- Desirable experience in administration of projects executed with UNDP and/or other UN agencies.
- Experience coordinating with national counterparts or working in State projects.
- Experience managing travel per diems, logistical arrangements for travel and project events.
- Fluency in Spanish is required.
- Intermediate English is desirable.
- Required professional certificates as per profile.
- Willingness to travel to project intervention zones.
