The Associate Coordination Officer supports the overall policy and UNCT/inter-agency coordination functions of UNSOH/CORM. The role involves assisting with preparation of briefing materials, managing correspondence, facilitating coordination efforts, and supporting administrative tasks within the United Nations Support Office in Haiti.

Responsibilities

  • Assist with the preparation of briefing material, talking points, and other substantive documents for the Head of Entity and Director of Mission Support for meetings and high level visits and missions.
  • Ensure submission of material within established deadlines and adhering to quality standards and protocols.
  • Assist with the preparation of talking points and background information in coordination with all stakeholders.
  • Monitor incoming correspondence and manage appropriate action in coordination with relevant UNSOH offices.
  • Draft and review correspondence, including Note Verbales (in English and Spanish).
  • Assist in facilitating UNSOH's contribution to the UN System's coordination efforts in substantive and administrative areas relevant to UNSOH, BINUH and GSF.
  • Assist in reviewing submissions to reports of the Secretary-General or other high-level officials or UN bodies through UNSOH leadership.
  • Assist in reviewing internal policy and programmatic documents and provide contributions to support decision making.
  • Attend meetings on behalf of the entity with Host Government authorities, draft and review minutes, monitor and facilitate follow-up actions.
  • Assist in providing policy support for UNCT, intergovernmental meetings and Member States groupings.
  • Contribute to the implementation of the inter-regional approach to drug control and crime prevention through participation in interdivisional meetings.
  • Contribute to addressing key institutional challenges to smooth and accountable delivery of programmes ensuring delivery with accountability; assist in supporting institutional change processes.
  • Keep abreast of policy issues related to UNSOH mandate areas and strategic and operational developments at UN HQs level and within UNSOH.
  • Perform records management activities related to all policy and strategic management related matters.
  • Support administrative tasks such as SAP (Umoja), budgetary and financial functions.
  • Perform other work-related tasks as assigned.

Requirements

  • An advanced university degree (Master’s or Doctorate degree, or equivalent) preferably in business administration, management, economics or related fields is required.
  • A first-level degree (Bachelor’s degree or equivalent) in the specified fields of studies with two additional years of relevant work experience may be accepted in lieu of the advanced university degree.
  • A minimum of two years of relevant progressively responsible professional experience in policy analysis and coordination or related area is required.
  • Work experience in the office of a high-level senior official is desirable.
  • Work experience within the United Nations system or similar international organizations is desirable.
  • English and Spanish language proficiency at UN Level II (English) and UN Level III (Spanish) in reading, writing, listening, and speaking.
