The Accounting Assistant is responsible for scrutinizing source documents, investigating erroneous charges, communicating with field offices, reconciling accounts, preparing financial statements, approving disbursements, providing guidance and training, supervising staff, responding to queries, assisting with data collection and analysis, and performing other duties as required within the Payments Unit in Bangkok.

Responsibilities

  • Scrutinizes source documents for completeness, accuracy and validity of charges.
  • Investigates erroneous charges and takes appropriate corrective accounting actions.
  • Communicates with field offices regarding missing documentation or any other issues related to discrepancies between their accounts and those maintained at Headquarters.
  • Reconciles and reviews suspense accounts and ensure proper clearance procedures have been followed.
  • Prepares worksheets and assists with the preparation of financial statements.
  • Serves as Approving Officer for disbursements up to an authorized level.
  • Provides guidance and training to colleagues as required.
  • Supervises other General Service staff as required.
  • Responds to queries from staff members and third parties.
  • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.
  • Assists with visualizations and updating information material such as web pages or brochures.
  • Performs other duties as may be required.

Requirements

  • High school diploma or equivalent is required.
  • A minimum of seven (7) years of experience in accounting, finance or related area is required.
  • The minimum years of relevant experience is reduced to five (5) for candidates who possess a first-level university degree or higher.
  • At least two (2) years of experience in using the budget and finance modules in Umoja (SAP-based ERPs) is desirable.
  • At least two (2) years in the United Nations Common System or similar intergovernmental organizations is desirable.
  • English is required at UN Level III for reading, writing, listening, and speaking.
  • Either French or Arabic or Chinese (Mandarin) or Russian or Spanish is desirable at UN Level II for reading, writing, listening, and speaking.
