The Supply Chain Coordinator ensures efficient, transparent, and compliant procurement and logistics in support of the Cocoa Community Resilience Programme. The role manages the timely acquisition of goods, services, and works in line with donor and organisational requirements, promotes value for money, and supports quality programme delivery, financial accountability, risk management, and sustainable local supplier engagement.

Responsibilities

  • Lead procurement planning, define requirements, and align procurement plans with project timelines, budgets, and technical specifications.
  • Conduct market research, identify and prequalify suppliers, and maintain an updated vendor database in line with compliance standards.
  • Manage end-to-end procurement processes, including bidding, RFQs/RFPs, price analysis, supplier selection, and negotiation to ensure value for money.
  • Draft, review, and manage contracts while ensuring compliance with donor requirements, organisational policies, and ethical sourcing standards.
  • Manage purchase orders, track procurement processes, and ensure timely delivery while resolving discrepancies across orders, invoices, and deliveries.
  • Manage supplier performance, contracts, payments, and KPIs; address non-performance and maintain effective communication with vendors.
  • Coordinate inbound and outbound logistics, including transportation, customs clearance, distribution planning, and delivery optimisation.
  • Oversee inventory control, storage, stock monitoring, asset tracking, and proper handover/commissioning of goods and services.
  • Validate invoices, support payments, track budget utilisation, and maintain complete procurement and logistics records for audits and reporting.
  • Identify and mitigate procurement and logistics risks, implement cost-efficiency and sustainability initiatives, and promote continuous improvement in supply chain processes.
  • Coordinate with internal teams, suppliers, and logistics providers; track performance (KPIs) and provide regular reports to management.
  • Provide general administrative support, ensure adherence to procurement procedures, and support staff with compliance and operational processes.

Requirements

  • Bachelor’s degree in Procurement & Supply Chain Management, Logistics, Business Administration, Finance, Engineering, or a related field
  • Minimum 3–5 years’ progressive experience in supply chain, procurement, or logistics and proven experience managing end-to-end procurement cycles.
  • Prior experience working with international NGOs, UN agencies, or donor-funded projects and a strong understanding of institutional donor procurement requirements, Internal control systems and audit readiness
  • Good communication, ICT skills and inter-personal skills
  • Good client/customer relations and negotiation skills
  • Open to feedback and willing to adapt to new approaches and processes
  • Ability to interface with all levels of management
  • Good writing and reporting skills
