Responsible for financial monitoring of country projects, including budget creation, configuration in ERP systems, monthly and quarterly reporting, and financial closure. Supports financial administration, donor reporting, partner follow-up, and audit processes to ensure effective project financial management.

Responsibilities

  • Manage project portfolio budgets.
  • Prepare project budgets ensuring inclusion of all relevant costs.
  • Obtain final donor-approved budget version.
  • Control budget modifications with proper authorization throughout project life.
  • Ensure all expenses are correctly coded and recorded; request corrections if necessary.
  • Participate in planning and budget update workshops.
  • Configure budgets in required currencies in ERP system.
  • Make annual budget modifications and quarterly updates in ERP by project and period.
  • Transfer financial information to Plan's formats.
  • Record project donation income in ERP.
  • Request monthly funds for project payments.
  • Consolidate monthly timesheets from project team.
  • Participate in internal and external project follow-up meetings and fulfill assigned tasks.
  • Control reimbursements to PIG for cost recoveries.
  • Follow up on project audits.
  • Prepare monthly budget execution reports in local and donor currency in Plan's internal format and share with project stakeholders to explain variations.
  • Prepare donor format budget execution reports as per reporting calendar and explain variations.
  • Consolidate budget execution reports of Plan and partners.
  • Reconcile budget execution reports with ERP and project bank accounts.
  • Ensure timely delivery of financial reports to donors.
  • Control budget line execution in local and donor currency and send timely alerts/recommendations.
  • Monitor exchange rate variations and alert on budget gains or losses.
  • Conduct periodic visits to partner offices to review expense documentation.
  • Review partner execution reports and reconcile with project bank accounts.
  • Review partner financial liquidations ensuring consistency by budget line and send alerts/recommendations.
  • Follow up on registration of partner financial liquidations in ERP.
  • Participate in follow-up meetings with partners and document agreements.
  • Request advances for partners.
  • Ensure all expenses are recorded before project end date.
  • Ensure income recorded in ERP matches total execution.
  • Ensure relevant project documentation is archived.
  • Maintain organized digital backup of project information.
  • Support focal point in project closure in ERP within established timeframe.

Requirements

  • 3 or more years of experience in design, planning and financial monitoring of social development projects.
  • Experience in financial budget development.
  • 3 or more years of university studies in Public Accounting, Auditing, Business Administration, or equivalent.
  • Ability to analyze financial data.
  • Ability to calculate and project numerical figures.
  • Preparation and interpretation of financial reports.
  • Good intercultural communication skills, assertiveness in verbal and written form.
  • Organization and work planning skills.
  • Ability to work under pressure and deliver results.
  • Advanced level of Microsoft Office packages and email (advanced Excel).
  • Ability to use ERP software.
  • Intermediate level of English (desirable).
  • Excellent analytical skills.
  • Ability to establish and maintain productive professional relationships with diverse people.
