The Staff Assistant manages the Tool for Operational Planning Functional Area System (TOPFAS) and provides administrative and real life support to the Plans Branch at the Joint Logistics Support Group Headquarters. The role includes maintaining TOPFAS data, advising on TOPFAS issues, managing branch correspondence and calendar, and supporting coordination and meeting organization.

Responsibilities

  • Maintain and update the Plans Branch related TOPFAS data.
  • Provide advice on TOPFAS issues to the whole JLSGNP HQ.
  • Provide limited training on TOPFAS when required.
  • Manage routine information within the Plans Branch.
  • Manage internal Plans Branch staffing of incoming/outgoing correspondence, management of Branch taskers and Branch calendar.
  • Ensure actuality, integrity and completeness of information stored, published and distributed on behalf of the Plans Branch.
  • Assist and support Branch Head and Section Heads to coordinate with other staff branches/sections.
  • Support in the organization of meetings, VTCs, conferences etc. of the Branch, including reception of visitors.
  • Ensure administrative part of internal organization of the Branch and contribute to Real Life Support in preparation of and during exercises and operations.

Requirements

  • Higher secondary education and competence higher vocational training in logistics, transport or related discipline leading to a formal technical or professional certification with 3 years function related experience, or secondary education and competence advanced vocational training in that discipline leading to a professional qualification or professional accreditation with 5 years post related experience.
  • Experience in activities that involve logistics management.
  • Experience developing plans and policy guidance to implement logistics management programs.
  • English language proficiency at SLP 3232 (Listening, Speaking, Reading and Writing).
  • Advanced knowledge of TOPFAS with a minimum experience of 6 months is required.
  • Experience working previously in a multinational or joint environment is desirable.
  • Completion of TOPFAS courses: Course 0269 TOPFAS Overview, Course 0265 TOPFAS OPT for User, Course 0267 TOPFAS CAT for user, TOPFAS OPT Train the Trainer, TOPFAS for Advanced User-Functional.
  • Mature and tactful individual judgment and flexibility, persuasive personality, and excellent team working skills.
  • Candidates must be nationals of a NATO member country.
  • Candidates must be over 21 and under 60 years of age at the time of appointment.
  • A NATO security clearance and approval of the candidate’s medical file by the NATO Medical Adviser are essential conditions for appointment.
