The Staff Assistant in Information Knowledge Management (IKM) supports the Allied Combined Air Operations Centre (CAOC) in Torrejon, Spain, by coordinating information exchange, managing knowledge systems, and ensuring effective communication within the Command Group and with other agencies. The role involves managing information systems, coordinating procedures, and supporting operational tasks in a secure NATO environment.

Responsibilities

  • Responsible for the proper exchange of information within the Command Group and other agencies.
  • Coordinates IKM procedures and capabilities that satisfy requirements for the CAOC and the entire Command Group.
  • Liaises with the CAOC and ensures that appropriate CIS tools are available for staff users to pass essential information.
  • Prepares and coordinates staff user information requirements, issues, procedures, and policies within the CAOC.
  • Distributes and monitors tasks within the Command Group and ensures timely processing.
  • Ensures all documents produced by the Command Group are properly and timely posted, distributed, and archived.
  • Supervises the NATO Internal Portal (NIP) Page and coordinates the structure and content of the COM CAOC NIP intranet.
  • Manages the CAOC electronic library and filing systems and defines distribution lists of the Allied Information Flow System (AIFS) messages.
  • Reviews information needs required/produced for daily battle staff rhythm and Command Group meetings.
  • Acts as the link between IKM and Registry to guarantee the flow of information, messages, and documents inside CAOC Torrejon and to/from other NATO HQ units.
  • Authorized to make decisions within assigned functional area, coordinating with lateral, subordinate, and superior HQs.
  • May be required to undertake deployments in support of military operations and exercises, and/or TDY assignments within and beyond NATO boundaries.

Requirements

  • Higher Secondary education and completed higher vocational training in library, information science, management information systems, computer science or related discipline leading to a formal technical or professional certification with 3 years function related experience, or Secondary education and completed advanced vocational training in that discipline leading to a professional qualification or professional accreditation with 5 years post related experience.
  • At least 3 years of experience in Information Management within a large Company or Organization, Command Headquarters Operations Centre, or an air operations environment.
  • Proven experience with the preparation and coordination of staff user information requirements, issues, procedures, policies within a large Company or HQ.
  • Good knowledge of IT and common office automation applications.
  • English - SLP 3322 - (Listening, Speaking, Reading and Writing).
  • A NATO security clearance and approval of the candidate’s medical file by the NATO Medical Adviser are essential conditions for appointment to this post.
  • Candidates must be nationals of a NATO member country.
  • Candidates must be over 21 and under 60 years of age at the time of taking up their appointments.
  • Applicants must be eligible for NATO security clearance; clearance is not required at time of application but will be obtained from national authorities if selected.
