This internship supports knowledge management, coordination of the WASH Community of Practice, and development of communication and visual products to enhance WASH programming visibility and learning across IOM. The intern will manage documentation systems, support global WASH coordination, and assist with logistics for workshops and meetings.
Responsibilities
- Conduct a comprehensive audit of WASH-related shared drives, document repositories, and project folders to map current folder architectures, identify gaps, duplications, and obsolete content.
- Implement standardized folder structures in line with DHRR SharePoint requirements to improve discoverability and enable efficient knowledge retrieval.
- Disseminate relevant WASH news, resources, and emerging issues to Community of Practice members across global offices and partner organizations.
- Develop project SharePoint sites and coordinate with Innovation and Knowledge Management Unit on updating POEM.
- Support management of logistics for WASH virtual and in-person meetings including agendas, calendar invites, recording/documentation, meeting registration, participant communication, and venue logistics.
- Maintain shared meeting notes, action items tracking, and decisions log.
- Develop visually compelling infographics, data visualizations, and promotional materials to communicate WASH programming highlights, impact metrics, and innovation examples.
- Create presentation slides, flyers, and web-ready visual assets summarizing WASH field activities, case studies, and sector updates.
- Support visual storytelling to enhance internal communication and external visibility of WASH work.
- Perform other duties as assigned.
Requirements
- Enrolled in the final academic year of a first university degree programme (minimum Bachelor's level or equivalent) or graduated within the last 12 months in project management, knowledge management, information science, engineering, public health, communications, graphic design, business administration, organizational development, or related fields.
- Ideally have experience in knowledge management systems, documentation management, SharePoint administration, or maintaining digital repositories and organizing technical information.
- Experience in project coordination, administrative support, or event management in international, nonprofit, or UN settings, including organizing meetings and managing stakeholder communications.
- Experience in graphic design, infographic design, or visual communications; ability to create presentations, data visualizations, and promotional materials.
- Experience in data management, spreadsheet analysis, or supporting coordination, monitoring, or reporting functions in a professional setting.
- Advanced skills in Microsoft Excel, Word, and PowerPoint; familiarity with Office 365 tools such as Teams, SharePoint, and OneDrive is highly valued.
- Ability to organize, categorize, and structure large volumes of information; familiarity with metadata, naming conventions, taxonomies, information governance, and document management systems preferred.
- Competence in creating visual materials such as infographics, slide design, data visualizations, and promotional materials; familiarity with design tools like Canva or Adobe Suite is valued.
- Understanding of project management fundamentals including timelines, task lists, and action item tracking; familiarity with project management tools.
- Strong written and verbal communication skills; ability to write clear meeting notes, summaries, and documentation; comfortable communicating with diverse stakeholders.
- Excellent attention to detail and organizational skills; ability to prioritize tasks, manage multiple projects, and meet deadlines in a fast-paced environment.
- Basic understanding of water, sanitation, and hygiene services and their importance in humanitarian settings is helpful but not required.
- Fluency in English (oral and written) is required; working knowledge of another official UN language (Arabic, Chinese, French, Russian, Spanish) is an advantage.
