The Expert supports the Program Manager in coordinating the principal activities of the Consultative Committee, including Institutional Relations and Strategy, Members Relations and Business Outreach, and Financial, Legal and Internal Management. The role involves strategy development, coordination of members' interests, drafting documents, event management, budget monitoring, and internal workflow optimization within the Secretariat.

Responsibilities

  • Support the Program Manager with the development of the strategy of the Consultative Committee (CC) and implement and monitor associated domain work proposal and deliverables for the Dubai cycle.
  • Support the Program Manager in drafting and implementing the integration of the CC within the institutional architecture of the UPU.
  • Support the Program Manager in coordinating CC Members' interests with various UPU programs and foster collaboration between the UPU and the wider postal sector.
  • Draft the agendas, documents and reports of the CC.
  • Serve as the focal point for the CA Secretariat on CC matters in the context of the UPU sessions.
  • Develop tools to monitor CC Members' feedback to ensure Members' retention and maintain the CC's value proposition.
  • Develop and improve tools to facilitate stakeholder engagement both internally and externally.
  • Oversee the management of events such as CC webinars and development of CC sponsoring packages.
  • Oversee the development of the CC communication strategy in collaboration with the UPU Communications.
  • Support and coordinate the CC Secretariat's efforts to respond to CC Members' various requests.
  • Represent the Consultative Committee Secretariat in the absence of the Program Manager to recruit prospects at events abroad.
  • Oversee the follow-up with prospects by the Business/Admin support consultant.
  • Support the Program Manager in drafting and monitoring the yearly allocated budget.
  • Coordinate the CC Secretariat's effort in tracking the payment of membership fees and follow-up with members when appropriate.
  • Work in close collaboration with the legal & stakeholder engagement consultant to ensure that CC rules of procedure and associated activities are up to date and in compliance with the UPU General Regulations.
  • Optimize internal workflows within the Secretariat in close collaboration with the Assistant.
  • Monitor, lead and coordinate, under the supervision of the Program Manager, the work of the Team members and interns.
  • Oversee the training of young talents (interns) with the Assistant.

Requirements

  • First level university degree (Bachelor’s degree or equivalent) in International Relations, Political Science, Business Administration, Communications or a similar field is mandatory.
  • Advanced level university degree is an asset.
  • Minimum 3 years of professional experience in the sector of private-public partnerships when holding a first level university degree.
  • Experience in the UPU or in another UN agency is desirable.
  • Without Bachelor or equivalent, 8 years of relevant experience is required.
  • Knowledge of relevant computer systems and applications; excellent understanding of and knowledge of software such as Microsoft Office (especially Word, Excel, etc.); Advanced PowerPoint instruments.
  • Excellent knowledge of Web Content Management software is required.
  • Very good document writing skills; knowledge of internal UPU formatting standards and internal procedures is desirable.
  • Good knowledge of and interest in private-public partnership topics, current economic and socio-political events and developments is required.
  • Knowledge of functioning of international organizations belonging to the UN system or similar is required.
  • General understanding of the principles of work of the UPU Consultative Committee is desirable.
  • Proficiency in English or French is required; working knowledge of the other language would be desirable.
