The HR/Admin Technical Assistant performs HR and Admin related tasks on a day-to-day basis for the Field Office in Kharkiv. The role involves maintaining HR databases, supporting recruitment and induction processes, managing office supplies and accommodation for staff, and organizing business trips and events.
Responsibilities
- Adhere to NRC policies, tools, handbooks, and guidelines
- Implement procedures and activities within own function as delegated
- Organize and deliver tasks in line with priorities and standards
- Develop and maintain knowledge of the specialist area of work
- Use initiative in day-to-day problem solving in line with agreed procedures
- Prepare and develop status reports as required by management
- Ensure proper filing of documents
- Promote and share ideas for improvement in area of expertise
- Maintain accurate data in the HR Database (People System, filing tree, excel database)
- Proper documentation and filing of personnel files, timesheets, attendance sheets, overtime, leave requests, staff trackers
- Proper filing of recruitment documents
- Support hiring and resignation processes according to procedures
- Support induction process
- Support vacation and sick leave processes
- Create HR orders (vacation, business trips, etc.)
- Track attendance of NRC’s mandatory trainings
- Verify correctness and sign timesheets of Kharkiv office employees
- Maintain the life of the Kharkiv Field Office including purchase of necessary goods and preparing payment documents
- Organize minor repairs
- Support proper storage of office supplies
- Maintain accommodation of international staff
- Search for office premises, guesthouses, apartments and support agreement conclusion and extension
- Manage multi-purpose cash advance if necessary
- Organize business trips for Kharkiv Office employees (booking hotels)
- Organize requested workshops, trainings, and events
- Update and file Admin files
- Perform other tasks related to HR/Admin responsibilities
Requirements
- Bachelor’s degree and above in relevant field
- 1 year of experience working in HR and Admin field
- Confident user of MS Office
- Confident level of spoken and written English
