The Political Affairs and Conference Services Associate Officer will provide substantive, organizational and administrative support in the implementation of the Division’s programme of work, including assisting in the preparation and delivery of IPU events and supporting parliamentary diplomacy initiatives.
Responsibilities
- Assist in the preparation and delivery of IPU events, including Assemblies, Information Seminars, Parliamentary Meetings at UN Climate Change Conferences, and related activities.
- Prepare administrative documentation for staff and participants and respond to organizational and logistical queries.
- Prepare travel authorization forms and liaise with the IPU’s designated travel agency.
- Draft contracts for external collaborators supporting events.
- Coordinate meeting room reservations ahead of Assemblies and provide overall organizational support.
- Assist in drafting and dispatching official and courtesy correspondence in English and French.
- Support meetings involving IPU leadership through preparation of briefing notes, speaking points, notes for the file, speeches and official correspondence.
- Act as focal point for the MPER database on Member Parliament engagement and support efforts to deepen in-house knowledge of Member Parliaments.
- Conduct research on follow-up actions to IPU resolutions and good practices by Member Parliaments.
- Monitor political, parliamentary and multilateral developments relevant to the Division and provide research and analytical support.
- Contribute to IPU parliamentary diplomacy initiatives through preparation of background research, briefing materials and analytical notes.
- Undertake any other duties assigned by the MPER Director and the Political Affairs and Conference Services Officers.
Requirements
- Advanced university degree in international relations, political science, law or a related field.
- At least 2 years of relevant professional experience in an international organization, parliament, public institution or related environment.
- Excellent analytical and organizational skills.
- Excellent oral and written command of English and French.
- Knowledge of other UN languages would be an asset.
- Experience supporting international meetings, conferences or diplomatic events would be an asset.
- Knowledge of IPU procedures and operations and/or experience in another inter parliamentary setting would be a distinct advantage.
