The Data Entry Supervisor is responsible for managing the progress and quality of data entry operations, coordinating with the technical project team and field offices. The role focuses on ensuring data completeness, accuracy, and quality assurance through supervision and verification processes.

Responsibilities

  • Supervise data accuracy: Oversee the data entry team to ensure all project data is accurately translated from original documents to the data entry platform.
  • Manage receipt and pre-verification of forms: Coordinate the flow of paper and digital field submissions, ensuring clerks verify clarity and completeness before distributing forms for system entry.
  • Improve workflow and submission rates: Monitor individual and team outputs to maintain a steady daily submission rate, proactively managing workloads to meet targets and prevent backlog of unentered field data.
  • Track and organize record flows: Establish and maintain a centralized tracking system for completed physical and digital forms to prevent skipping, loss, or duplicate entry, ensuring anomalous and error forms are organized in separate files with school identification.
  • Implement quality assurance and spot checks: Ensure quality and consistency of entered data through precise, pre-agreed spot checks and systematic audits against system logic and source text.
  • Consolidate regional statistics: Collect and verify data entries at the regional level completed by clerks, compare totals with target benchmarks, and report any shortfalls or excesses to the Head of Educational Research and Development Center and the project Information Systems Officer.
  • Escalate technical issues: Act as focal point for platform performance; collect, verify, and report coordination errors, delays, or logical errors identified by the team to the Head of Educational Research and Development Center and the project Information Systems Officer.
  • Enforce data confidentiality compliance: Maintain strict control over beneficiary data protection protocols, ensuring the team handles all files securely and does not leave data entry screens unattended.
  • Supervise workspace orders and document security: Manage the physical data entry environment to ensure staff maintain an organized workspace to avoid damage or loss of paper form templates.

Requirements

  • University graduate or intermediate diploma.
  • At least one year of experience in a basic administrative role, preferably with an NGO, local organization, or government environment.
  • Very fast and accurate typing skills (text/numbers in Arabic and English).
  • Basic knowledge of computers, internet browsers, and data entry interfaces (such as KoboToolbox or custom database forms).
  • Basic knowledge of Microsoft Excel (navigating sheets, data entry, and using basic search and lookup functions).
  • Arabic speaker with basic understanding of English text in data entry forms (if required).
