The Finance Assistant supports finance and budget activities ensuring compliance with WFP financial policies. Responsibilities include monitoring expenditures, verifying vendor claims, preparing financial reports, managing petty cash, and contributing to financial market analysis and capacity development of partners.
Responsibilities
- Assist in providing procedural and technical support to staff within the areas of finance and budget, to ensure compliance with WFP financial policies, rules and regulations.
- Monitor monthly expenditure forecasts and provide expenditure reports in order to facilitate informed decision-making.
- Monitor the bank and petty cash accounts regularly, with the inputs of spending units forecast the expenditures of the following month to ensure that adequate funds are available and appropriately disbursed.
- Verify vendor claims, advances and other receivables to ensure that suppliers are paid in a timely manner and in conformance with WFP finance rules and regulations.
- Assist in compiling information from various sources in order to prepare financial reports relating to budgets and expenditures per activity, contribution source (donor), expenditure type, cost category, etc.
- Retrieve, format and validate information obtained from various financial information systems and bring any discrepancy or inaccuracy to the attention of the supervisor and take/follow up corrective actions.
- Monitor and record all expenses in line with the approved budget in order to ensure that correct expenditure costs are charged.
- Prepare bank transfer sheets and currency conversion requests.
- Prepare invoices and receipts to customers.
- Maintain file register in Teams to ensure all documents are maintained in compliance with WFP guidelines.
- Act as petty cash cashier.
- Contribute to financial market analysis.
- Contribute to the capacity development of cooperating partners in financial management, perform on-desk and on-site financial spot-checks.
- Provide guidance and on-the-job training to other support staff, to ensure services are delivered consistently and to the required standards.
- Perform other related duties as required.
