The Library Assistant supports the delivery of an effective and professional library service responding to the information and research needs of the Organization, its Member States, delegates, as well as international students and researchers. The role involves managing library collections, assisting with cataloguing, database management, digital archiving, and providing technical support and guidance to users.
Responsibilities
- Assist in accessioning, description, and database updating activities related to MKC collections using modules of the ILS.
- Raising Purchase Orders and assisting in the coordination of the invoicing process for subscriptions and purchases.
- Perform content pre-cataloguing: book labelling and conducting searches in bibliographic utilities for MARC records.
- Conduct data acquisition, data cleansing, data entry, and database development for MKC databases using citation management software.
- Participate in long-term projects such as weeding, upgrading catalogue records, retrospective cataloguing, and reclassification of MKC collections, and other initiatives.
- Conduct basic preparatory research for updating online resources or web sites, providing document delivery services, or acquisition of new resources.
- Maintain and update MKC Internet and Intranet web pages.
- Assist in the maintenance and development of electronic reference tools and bibliographies using web publishing tools (LibGuides) and citation management software.
- Provide guidance to staff, researchers, students, and visitors in the use of the MKC and its resources.
- Provide technical support and instruction, to IMO staff and MKC visitors, relating to IMOs electronic resources (subscriptions).
- Assist with scanning/digitization, contribute to digital archiving projects, and metadata-related processes for IMO content.
- Perform circulation, serial check in, and the compilation of reports and statistics using the MKCs ILS.
- Act as point of contact for general enquires.
- Draft content for website updates and responses to enquires.
- Manage regular stock checks and maintain a list of missing materials.
- Provide administrative support for the MKC and undertake other duties as may be assigned.
Requirements
- Secondary education to university entrance standard.
- Certificate or Diploma in library & information technology related processes and applications would be an asset.
- A minimum of 6 years of relevant professional experience in a special or research library, archive, or related area is required.
- Experience working with and cataloguing special collections.
- Familiarity with Library of Congress (LC) classification and subject headings.
- Proficiency in the use of the various modules of an Integrated Library System (ILS).
- Experience with functions related to client services in a special research library setting.
- Experience in website or content management for library or information services and Microsoft applications particularly in Word, Excel and PowerPoint and SharePoint.
- Proficiency in English (oral and written) is required.
- Proficiency in drafting and proof reading is required.
- Knowledge of any another United Nations official language would be an asset.
- Ability to copy catalogue applying MARC and Resource Description and Access (RDA) standards is required.
- Knowledge of Library of Congress cataloguing, and classification applications and resources is required.
- Proficiency in digitization and preservation processes, software, and technology is required.
- Proficiency in Web authoring and HTML is required.
- Knowledge of basic invoice payment processes within in a large organization is required.
