The Administrative Assistant will provide secretarial and administrative support to the Maritime Training and Human Element section, particularly related to model courses and the STCW Convention and Code. The role involves document preparation, coordination, and support for technical cooperation activities within the Maritime Safety Division.
Responsibilities
- Support Secretariat functions related to the STCW Convention and Code, including preparation, editing and finalization of documentation.
- Support the work during phase 2 of the comprehensive review of the STCW Convention and Code and related committees.
- Monitor and coordinate the development and revision of model courses to ensure consistency with the STCW Convention and Code.
- Proofread and edit technical documents to ensure excellent language, grammar, spelling and presentation.
- Carry out SAP functions related to the IMO Model Courses Development Trust Fund.
- Prepare documentation as assigned.
- Assist with implementation of model course related activities and perform administrative and support functions.
- Provide administrative support to relevant projects, technical cooperation activities and technical advisory missions.
- Undertake other related duties as required by the Head of Section and connected to the scope of the post.
Requirements
- Secondary education or equivalent to university entrance standard is essential.
- Formal secretarial training will be a distinct advantage.
- At least 5 years’ experience in secretarial or administrative work, preferably within the UN system.
- Similar support experience in an international organization would be an added advantage.
- Proficiency in English and ability to draft clearly and concisely is essential.
- Knowledge of any other UN language, particularly French or Spanish, would be an advantage.
- Excellent computer skills (MS Office applications) are essential.
- Knowledge of SAP and experience with database management would be an asset.
