The Sr. HR Associate is responsible for processing personnel actions related to education grants and rental subsidies for IOM staff in the Professional category. The role includes providing guidance on policies, responding to staff queries, processing HR actions, conducting quality checks, and contributing to continuous improvement of procedures.

Responsibilities

  • Provide information, guidance and documentation to staff members on education grants and rental subsidies, including the application of relevant policies, procedures and entitlements.
  • Respond to staff queries via phone, Microsoft Teams, and email relating to EGs for staff within the assigned region in an accurate and timely manner, providing guidance on the application of established rules and procedures, including clarification of non-routine cases and policy interpretation as required.
  • Process HR actions pertaining to EGs within the assigned area of responsibility, as defined in the HRAU International Transaction Approval Matrix, within the agreed service levels for each action, including the review and resolution of non-routine cases in accordance with established policies and procedures.
  • Conduct quality checks on various HR transactions, verifying accuracy, consistency, and compliance with applicable policies, procedures, and established controls, and identifying issues requiring corrective action.
  • Accurately update HR master data relevant to EGs in the Organization’s Enterprise Resource Planning (ERP) system, as required.
  • Analyze complex cases and technical issues relating to EGs and rental subsidies, provide recommendations and guidance on the application of relevant rules and procedures, and escalate matters requiring exceptional approval to the Senior HR Associate (EG Validation) and relevant Team Leads for resolution.
  • Process and review rental subsidies for all IOM staff in the Professional category and General Service staff in Switzerland, verify compliance with applicable regulations and supporting documentation, and send them to the relevant Team Leads for validation.
  • Monitor recurring actions, anticipate rental subsidy requests and extensions, and proactively follow-up with staff members, as required, identifying discrepancies, trends, and issues requiring corrective action.
  • Provide guidance and knowledge-sharing to colleagues on processes relating to EGs and rental subsidies and contribute to the continuous improvement of related procedures.
  • Perform other relevant duties as maybe assigned.

Requirements

  • Bachelor’s degree in Human Resources, Business Administration, Psychology or related field from an accredited academic institution with four (4) years of relevant professional experience; or, High school diploma with six (6) years of relevant experience.
  • Accredited Universities are those listed in the UNESCO World Higher Education Database.
  • Experience in Human Resources Management and personnel administration.
  • Experience using an ERP system.
  • Experience in an international organization, non-government or government organization, in a multi-cultural setting, is an advantage.
  • Advanced knowledge of Microsoft Office Suite.
  • Knowledge of IOM/UN HR procedures and rules is an asset.
  • Knowledge of SAP highly desirable.
