The Logistics Assistant supports the implementation of standard logistics and supply chain processes to ensure effective delivery of goods and services. The role involves coordination with suppliers, transport planning, storage management, dispatch recording, and vendor invoicing in the Bahir Dar transit hub.

Responsibilities

  • Coordinate with WFP suppliers on local purchase production and readiness quantity to be uplifted.
  • Receive the approved dispatch plan from the CO Supply Chain for each location where food is to be dispatched.
  • Ensure the transport plan by fleet or commercial is received from CO Logistics for loading plan and timely delivery as per the approved dispatch plan.
  • Ensure sufficient storage capacity at Bahir Dar transit hub for food uplift and transit before dispatch.
  • Ensure all dispatches are recorded in LESS and online waybills issued as per the approved uplifting plan.
  • Ensure Bag Marking is performed before uplifting if food is dispatched to FDPs.
  • Gather updated route information for each dispatch hub location before dispatch and inform fleet or transporters.
  • Coordinate and follow up with destination hub on arrival of food commodities.
  • Conduct market assessments and engage with entities to assess and identify potential logistics service providers.
  • Support implementation of WFP deliveries/convoys in Amhara region, receiving trucks in Bahir Dar from upstream locations.
  • Prepare and report daily stock uplift from factories.
  • Ensure and follow up vendor invoicing process, especially for fleet truck washing before uplifting commodities, and update as per WFP IPSAS.
  • Oversight of commodities accounting and ensure all WFP corporate tools are followed and used.
  • Ensure all fuel transactions for refuelling WFP fleet trucks are recorded in FMS.

Requirements

  • Completion of secondary school education. A university degree in a related field is desirable.
  • At least five years of progressively responsible work experience in the fields of Logistics / warehousing in emergency operation.
  • Fluency in oral and written English and Amharic is required.
  • Experience in maintaining corporate systems and running queries on logistics activities from operational and commodity accounting point of view.
  • Experience in transport allocation and planning.
  • Experience in financial planning, budgeting for logistics and reporting.
  • Experience in working in the humanitarian/non-profit field.
