The Senior Warehouse Associate coordinates and monitors end-to-end supply operations including shipments, customs clearance, and delivery in a complex emergency environment. The role ensures quality control, inventory management, and compliance with operational and safety standards while supporting continuous improvement of supply chain processes.
Responsibilities
- Coordinate and monitor end-to-end supply operations, including incoming shipments, pipeline tracking, customs clearance, and final delivery, ensuring timely execution across all supply chain stages.
- Identify bottlenecks or disruptions, proactively brief the supervisor, and propose corrective actions to ensure continuity of operations in a complex emergency environment.
- Lead the clearance and reception process for international shipments, ensuring timely submission of documentation to relevant authorities and close follow-up on approvals.
- Verify the quality, quantity, and compliance of goods received, including sensitive and controlled items, and ensure proper documentation and traceability throughout the process.
- Oversee warehouse and inventory management systems, ensuring accurate recording of all transactions, timely identification and resolution of discrepancies, and proper use of stock management tools and systems (e.g., LSS, stock reports).
- Maintain robust internal control mechanisms and ensure that storage conditions meet operational and safety standards.
- Plan and supervise storage and distribution operations, including preparation of storage plans, organization of warehouse space, and coordination of internal movements.
- Ensure efficient handling, storage, and dispatch of medical and non-medical commodities, including cold chain and other specialized items.
- Coordinate access and operations within logistics platforms, working closely with all relevant actors (e.g., gatekeepers, forklift operators, warehouse supervisors) to ensure smooth flow of goods and equitable access for WHO operations.
- Monitor loading and offloading activities to ensure accuracy, efficiency, and compliance with procedures.
- Ensure effective coordination with internal and external stakeholders, including customs authorities, clearing agents, UN agencies, NGOs, government counterparts, and security focal points.
- Monitor and manage supply movements across entry corridors, adapting plans in real time to external constraints (e.g., access limitations, rejected shipments, delays in approvals).
- Ensure accountability and reporting, including preparation of regular and ad hoc reports on stock levels, pipeline status, discrepancies, and supply movements.
- Support operational security and compliance, in coordination with the WHO security focal point, ensuring that transport providers and drivers adhere to internal security protocols and operational procedures.
- Contribute to continuous improvement of supply chain processes, recommending enhancements, and supporting the implementation of more efficient and reliable logistics practices in line with WHO standards.
- Supervise affiliate personnel as needed.
- Perform any other related duties as required.
Requirements
- Completion of first level education, supplemented by training in the field of supply/logistics/procurement.
- Valid driving license.
- University degree in business administration, logistics management or related field is an asset.
- At least ten years of related experience in warehouse management, logistics, supply and procurement for UN agencies and NGOs.
- Sound organization skills.
- Stress and time management skills.
- Good knowledge of WHO systems, procedures and practices.
- Expert knowledge of English.
- Expert knowledge of Arabic.
