The Administrative Assistant provides administrative support services within the Business Support Section of the Office of Investment Management at the United Nations Joint Staff Pension Fund. The role involves human resources management tasks, general administration duties, and assisting with various HR and administrative projects.

Responsibilities

  • Initiates, reviews, processes and follows-up on actions related to recruitment of staff, interns and consultants.
  • Responds to enquiries and provides information and advice to staff.
  • Oversees the maintenance of vacancy announcement files and keeps track of status of vacancy announcements.
  • Prepares relevant statistical data/charts.
  • Drafts routine correspondence to respond to enquiries in respect to personnel matters.
  • Assists with the collection and analysis of data.
  • Assists with visualizations and updating information material.
  • Assists with day-to-day administration of HR services.
  • Assists with administrative duties related to the Service Now HRSD implementation project.
  • Assists with monitoring and tracking flexible work arrangements.
  • Assists with the monitoring and tracking of training requests.
  • Performs other related administrative duties, as required.

Requirements

  • High school diploma or equivalent.
  • Seven years of relevant administrative or client service experience is required.
  • Relevant experience in an investment institution/pension fund is desirable.
  • Ability to perform a broad range of administrative functions, e.g., budget/work programme, human resources, database management, etc.
  • Ability to apply knowledge of various United Nations administrative, financial and human resources rules and regulations in work situations.
  • Professionalism and commitment to gender equality.
  • Ability to perform analysis, modelling and interpretation of data in support of decision-making.
  • Ability to work collaboratively in a team environment.
  • Planning and organizing skills to develop clear goals and adjust priorities as required.
  • English language proficiency at UN Level II in reading, writing, listening and speaking.
