The Intern – Supply Chain will support procurement and supply chain activities under the supervision of the Supply Chain Officer in Dakar Country Office. The role involves assisting with procurement requisitions, tender documents, vendor invoice reviews, fleet operations, and asset management to gain professional experience in an international environment.

Responsibilities

  • Support the consolidation of procurement requisition forms; assist in verifying that they contain all required information and comply with the Purchase Authorization Matrix and relevant office instructions.
  • Assist in the preparation of tender documents, solicitation of bids and quotations; support the preparation of bid analysis summaries and share them with the requesting unit as directed.
  • Support the monitoring of open requisitions and follow up on the timely delivery of goods and services; assist in coordinating with receiving units to obtain satisfactory delivery notes.
  • Assist in reviewing vendor invoices and preparing payment requests for coordination with the Finance Unit.
  • Support the creation and maintenance of physical and electronic procurement records in accordance with IOM instructions and procedures; assist in retrieving and presenting information from the system.
  • Participate in market surveys to identify potential new suppliers and service providers; assist in gathering information on quality, pricing, and services.
  • Assist in tracking contractual agreements and monitoring office supplies; support the preparation of requisitions when required.
  • Provide support to fleet operations activities, including assistance with preparation of daily vehicle schedules and monitoring of vehicle logbooks.
  • Assist in supply chain tasks related to property and asset management, warehousing, and transportation, as directed.
  • Perform such other duties as may be assigned.

Requirements

  • Be enrolled in the final academic year of a first university degree programme (minimum bachelor’s level or equivalent), or in a Master's degree or higher in Supply Chain, Business Administration, Finance, Accounting or a related field; or have graduated with a university degree in Business Administration, Finance, Accounting or a related field, and if selected, must commence the internship within one year of graduation.
  • Experience in the usage of office software packages (MS Word, Excel, etc.) and knowledge of spreadsheet and data analysis.
  • Experience delivering high-quality outputs within set timeframes, demonstrating excellent time management and ability to prioritize tasks under tight deadlines.
  • Analytical skills.
  • Knowledge of supply chain rules and regulations.
  • Great attention to detail and ability to produce quality work according to set deadlines.
  • Fluency in English (oral and written) is required.
  • Fluency in French is an advantage.
