See your match score & applyThe Senior Human Resources Associate will manage resource management functions and support operations in the country office and sub offices. Responsibilities include recruitment coordination, pre-employment activities, HR data management, leave administration, personnel actions, reporting, compliance monitoring, staff development, and providing HR guidance.
Responsibilities
- Participate in evaluation of staffing needs and assist in recruitment processes including drafting Terms of Reference, posting Vacancy Notices, screening applications, preparing interview protocols, administering tests, participating in interview panels, conducting reference checks, preparing job offers, and managing recruitment mailbox.
- Coordinate pre-employment activities such as preparation of Entry on Duty documentation, coordination of medical exams and follow-up, insurance enrollment, induction sessions, and security briefing.
- Perform roles in the organizational HR system ensuring data consistency and accuracy; verify eligibility for allowances and benefits; monitor contractual situations and entitlements; generate reports and personnel actions.
- Monitor attendance and leave administration; generate and analyze leave reports; respond to leave-related inquiries; guide staff on request and approval procedures.
- Carry out and monitor HR actions including separation, classification, promotion, disciplinary cases; coordinate with Regional Office and Headquarters as appropriate.
- Prepare, coordinate and monitor reports on personnel matters; draft and review correspondence and certifications; maintain electronic and physical HR document archives.
- Monitor compliance with performance evaluation process; provide technical guidance on system use.
- Plan and coordinate HR events including staff development and training activities; maintain updated records; participate in training needs assessments.
- Provide information to staff on entitlements and responsibilities; respond to inquiries and refer sensitive cases appropriately.
- Identify areas for improvement and provide inputs for new or adapted procedures; assist in analyzing and resolving sensitive cases; provide comments on interpretation.
- Participate in inter-agency HR working groups as assigned.
- Provide guidance, training, and coordinate work of new/junior staff in the unit.
- Perform other related duties as assigned.
Requirements
- High School diploma with six years of relevant experience; or, Bachelor's degree in Human Resources, Business Administration, Psychology or related field with four years of relevant professional experience.
- Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E-mail, Outlook; previous experience in Wave is a distinct advantage.
- Attention to detail, ability to organize paperwork in a methodical way.
- Discreet, details and clients-oriented, patient and willingness to learn new things.
- Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
- Excel and data management skills.
- High level of accuracy and attention to detail.
- Strong analytical and problem-solving skills.
- Effective planning, organization, and time management skills to meet strict cut-off deadlines.
- Clear and professional communication skills for coordination with HR, Finance, and Global Payroll units.
- Ability to manage sensitive and confidential information with discretion.
- Strong sense of accountability, reliability, and ability to work independently under pressure.
- Knowledge of WAVE is a distinct advantage.
- Fluency in French is required (oral and written).
- Working knowledge in English is an advantage.
