See your match score & applyThe Senior Human Resources Associate provides administrative and operational support to the human resources functions of the IOM Cairo Mission. The role involves coordinating recruitment processes, managing HR data and documentation, monitoring attendance and leave, and supporting staff development and training activities.
Responsibilities
- Participate in evaluation of staffing needs and assist in coordination of recruitment processes including preparation of Terms of Reference, drafting and posting Vacancy Notices, screening and shortlisting applications, drafting interview protocols, preparing and administering written tests, taking part in interview panels, drafting candidate assessment forms, conducting reference checks, preparing job offers, and administering recruitment mailbox.
- Coordinate pre-employment activities such as preparation of Entry on Duty documentation, coordination of medical exams and follow-up, enrollment in insurance plans, delivery of induction sessions, and arrangement for security briefing.
- Perform assigned roles in the organizational HR system ensuring data consistency and accuracy; verify eligibility for allowances and benefits; monitor contractual situations and entitlements; generate and review reports, contract extensions, personnel actions and related documentation.
- Monitor attendance and leave administration; generate and analyze leave-related reports; respond to leave-related inquiries; guide staff on request and approval procedures.
- Carry out and monitor a wide range of HR actions including preparation of documentation for separation, classification, reclassification, promotion, disciplinary cases and coordinate with relevant offices.
- Prepare, coordinate and monitor reports on personnel matters; draft and review routine correspondence, letters, certifications; maintain electronic and physical archiving systems for HR documents.
- Monitor compliance with the performance evaluation process and provide technical guidance on the use of the system.
- Plan and coordinate HR events including staff development and training activities; participate in assessments of staff training and development needs.
- Provide information to staff on entitlements and responsibilities in line with IOM regulations; respond to inquiries and refer sensitive cases as appropriate.
- Identify areas for improvement and provide inputs for new or adapted procedures; assist in analyzing and resolving sensitive cases by preparing summaries and sharing best practices.
- Participate in inter-agency HR related working groups as assigned.
- Provide guidance and training to and coordinate work of new/junior staff in the unit.
- Perform other related duties as assigned.
Requirements
- High School diploma with six years of relevant experience; or, Bachelor's degree in Human Resources, Business Administration, Psychology or related field with four years of relevant professional experience.
- Accredited Universities are those listed in the UNESCO World Higher Education Database.
- Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E-mail, Outlook; previous experience in SAP is a distinct advantage.
- Attention to detail, ability to organize paperwork in a methodical way.
- Discreet, details and clients-oriented, patient and willingness to learn new things.
- Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
- Knowledge of HR Systems including Oracle applications.
- Strong organizational and time management skills, with the ability to manage multiple tasks and meet deadlines.
- Fluency in English and Arabic (oral and written) is required.
