The Project Associate (IBG) supports the execution and delivery of border management programmes under the Immigration, Border and Governance division. The role involves coordination with partners, monitoring project activities, drafting reports, and providing clerical support for project development efforts.

Responsibilities

  • Support the collaboration and liaison with main IBG partners, beneficiaries, and relevant stakeholders, including government ministries, civil society organization , among others, at the national and at the local level.
  • In coordination with the Senior Project Associate, support the implementation of the IBG project activities, including coordination meetings, community outreach, capacity building initiatives, and development of project related materials and tools.
  • Support the Programme Manager and the Senior Project Associate to monitor day-to-day IBG project activities, in accordance with IOM’s rules, regulation and procedures.
  • Support the monitoring of operational and administrative activities, in line with IOM administrative procedures.
  • Support the Programme Manager and the Senior Project Associate, to draft work plan, concept notes, Term of References (ToRs), activity and workshop reports.
  • Draft correspondence on project issues; prepare and update reports, briefing notes, graphics, statistical tables, presentation and other forms of documentation.
  • Support monitoring of the IBG project activities regularly by utilizing means of verification stated in the project proposal and provide recommendations for risk mitigation measures;
  • Support the preparation of the project reports required by donors and other external stakeholders as required.
  • Participate in meetings and conferences; assist in coordinating implementation activities with local authorities, government, private sector, United Nation agencies, intergovernmental and non-governmental organizations, donors and other stakeholders relevant to immigration and border governance issues.
  • Perform any other duties as may be assigned.

Requirements

  • Bachelor degree or equivalent in Political/ Social Sciences, Law, International Relation or a related field from an accredited academic institution with at least three of relevant working experience, or;
  • Completed High School degree from an accredited academic institution, with at least five years of relevant working experience.
  • Indonesian National with good knowledge and understanding of migration, border security and counter-trafficking context in Indonesia
  • Professional experience in project implementation, project development, including delivering training to government and non-government stakeholders;
  • Experience in facilitating community outreach and trainings/workshops/coordination meetings;
  • Experience in supporting capacity building activities, including module development, is desirable;
  • Professional experience in donor reporting;
  • Experience in liaising with governmental authorities, national/international institutions, United Nations agencies and non-governmental organizations;
  • Able to manage workload within general schedule of work, instructions and standard practices. Able to work with minimum supervision and maintain composure under pressure.
  • Demonstrated ability to work in a multicultural, multi-ethnic environment and to maintain effective working relations with people of different national and cultural backgrounds.
  • Solid knowledge and understanding of migration, border governance, migration-related transnational organized crime, and related national/regional framework and regulations;
  • Strong analytical, creative thinking and writing skills;
  • Good facilitation and presentation skills;
  • Well versed in written and oral communication skills in English and Bahasa Indonesia, including the ability to explain and present technical information; able to draft written documentations in a clear and concise style in both English and Bahasa Indonesia.
  • Strong liaison and networking skills with state and non-state actors.
  • High level of computer literacy and Microsoft Office tools is required. Knowledge of IOM computerized systems is an advantage;
  • Ability to work effectively and harmoniously with colleagues from varied cultures and professional backgrounds;
  • Willingness to travel and to work under difficult conditions.
  • Fluency in English and Bahasa Indonesia (oral and written)
