See your match score & applyThe Project Assistant supports the implementation of the EU for Communities programme under the supervision of the Chief of Mission and Community Stabilization Programme Coordinator. The role involves assisting in project activities, monitoring budgets, preparing reports, organizing meetings, and liaising with various stakeholders to ensure effective project implementation.
Responsibilities
- Assist in the implementation and monitoring of project activities.
- Retrieve, compile, summarize, and present information/data on specific project topics.
- Monitor budget; verify availability of funds; obtain necessary approval and update budget related information.
- Support administrative coordination of project implementation, involving liaison with diverse organizational units and external parties to initiate requests, obtain necessary clearances, process and follow-up on administrative actions, etc.
- Draft status reports, identifying shortfalls in delivery and bringing them to the attention of the supervisor.
- Draft correspondence, reports, briefing notes, graphics, statistical tables, presentations and other forms of documentation.
- Organize meetings, workshops and training sessions.
- Respond to general information requests and inquiries; set up and maintain files/records.
- Perform other related duties as assigned.
Requirements
- School diploma with four years of relevant experience; or, Bachelor's degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law or related fields from an accredited academic institution with two years of relevant professional experience.
- Experience in providing administrative and operational support to project implementation, including coordination of activities, workshops, meetings and events.
- Experience in preparing reports, correspondence, briefing notes, presentations, and other project documentation.
- Experience in monitoring project budgets, expenditures and financial documentation in accordance with organizational procedures.
- Experience in data collection, analysis, and preparation of statistical information and project updates.
- Experience working with government counterparts, implementing partners, UN agencies, civil society organizations and other stakeholders is an advantage.
- Experience working in a multicultural environment and within international organizations is desirable.
- Strong organizational and coordination skills with the ability to manage multiple tasks and priorities simultaneously.
- Proficiency in Microsoft Office applications, particularly Word, Excel, PowerPoint, Outlook and Teams.
- Ability to compile, analyze and present information in a clear and concise manner.
- Knowledge of project management principles, monitoring tools and reporting requirements.
- Knowledge of financial and administrative procedures, budget monitoring and record management.
- Strong drafting, communication and interpersonal skills.
- Ability to work effectively with diverse stakeholders and maintain professional relationships.
- Excellent attention to detail and ability to work under pressure while meeting deadlines.
- Knowledge of IOM policies, regulations and procedures, or prior experience within the UN Common System, is an advantage.
- Fluency in English, Albanian and Serbian (oral and written) is required.
