The Project Assistant (IBG) supports the execution and delivery of border management programmes under the Immigration and Border Governance unit. The role involves clerical support, coordination of project activities, documentation, and communication tasks to facilitate orderly, safe, and regular migration and mobility.

Responsibilities

  • Provide general/clerical assistance and support the implementation and organization of IBG project activities, such as trainings, meetings, workshops and community engagement initiatives.
  • Assist in note-taking, meetings/workshops/activities reporting, and translating project and communication materials to/from Bahasa Indonesia and English.
  • Support administrative coordination for project implementation, involving liaison with diverse organizational units or external parties to initiate requests, obtain necessary clearances, process, and follow-up on administrative actions.
  • Assist in updating project monitoring tools and related documentation, under the guidance of the Senior Project Associate.
  • Retrieve, compile, summarize, and present information/data on specific project topics to support project reporting and external communication efforts.
  • Draft status reports, correspondence, briefing notes, graphics, statistical tables, presentations, and other forms of documentation.
  • Under the guidance of the Senior Project Associate, provide support in drafting, designing visibility products and other publication materials.
  • Assist the Senior Project Associate in developing and implementing project visibility and communication initiatives, including drafting social media content, success stories, newsletters, web articles, and other project-related publications, in coordination with the project team and relevant communications focal points.
  • Respond to general information requests and inquiries; set up and maintain files/records.
  • Perform other related duties as assigned.

Requirements

  • School diploma with three years of relevant experience; or, Bachelor's degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law or related fields from an accredited academic institution with one years of relevant professional experience.
  • Accredited Universities are those listed in the UNESCO World Higher Education Database.
  • Experience in liaising with governmental authorities, national/international institutions, United Nations agencies and non-governmental organizations.
  • Indonesian National with good knowledge and understanding of migration issues and border management in Indonesia context, is an advantage.
  • Previous experience in developing social media contents, publication, and drafting is advantage.
  • Able to manage workload within general schedule of work, instructions and standard practices.
  • Demonstrated ability to work in a multicultural, multi-ethnic environment and to maintain effective working relations with people of different national and cultural backgrounds.
  • Technology savvy, proficiency in Microsoft Office tools (Word, Excel, Outlook, Powerpoint, Sharepoint).
  • Strong communication and writing skills.
  • Ability to operate designing software (Photoshop, Canva, etc.) would be an advantage.
  • Good personal commitment, efficiency, flexibility, creative thinking and attention to detail.
  • Ability to work effectively and harmoniously with colleagues from varied cultures and professional backgrounds.
  • Fluency in English and Bahasa Indonesia (oral and written) is required.
