The Assistant Director EDPP/EO supports the Executive Director Partnerships & Planning by managing the day-to-day functions of the EDPP Executive Office, coordinating strategic initiatives, and overseeing operational, organizational, and administrative issues. The role involves managing a team, ensuring efficient coordination of deliverables, and representing the Directorate in high-level stakeholder engagements.

Responsibilities

  • Assist the Executive Director Partnerships & Planning in the management of the activities in the EDPP, supporting him/her in discharging his/her responsibilities and providing appropriate advice and recommendations.
  • Assist in the planning, coordination and prioritization of activities pertaining to corporate, organizational and administrative nature in the Executive Directorate.
  • Make recommendations to enhance the functioning of the areas under Executive Director’s responsibility with focus on administrative and corporate matters.
  • Draft or supervise the drafting of correspondence, reports and other strategic documents for governing and supervisory bodies or other entities outside the Organization.
  • Identify challenges and issues to be addressed and propose actions.
  • Work with all components of the Organization to develop, communicate and implement agreed priorities and coordination delivered according to set timeframes.
  • Liaise and coordinate activity with Directors and offices in New York, Vienna, Brussels and Addis Ababa to support their operations and ensure seamless coordination of tasks including reporting to senior management.
  • Manage the EDPP Executive Office within established guidelines and planning to ensure effective and efficient delivery against priorities, activities and timeframes.
  • Act as the point of contact with other departments within the General Secretariat in relation to budget, finance, staffing, strategic priorities and high-level deliverables.
  • Manage day-to-day performance of the EDPP Executive Office, including budget and staffing matters.
  • Assign, supervise and ensure quality and prompt delivery of work of staff members assigned to the EDPP Executive Office.
  • Assist in managing stakeholder relationships and consultations at high level both internally and externally to ensure productive outcomes and achievements.
  • Organize and convene internal and/or external meetings related to areas of responsibility.
  • Represent EDPP in meetings with internal and external stakeholders and convey views of the Executive Director Partnerships & Planning.
  • Draft required agreements and protocols.
  • Maintain cordial and collaborative relationships with member country National Central Bureaus, representatives of member countries and international organizations.
  • Supervise the work of the EDPP Executive Office staff in the context of specific programs, projects or tasks defined by the Executive Director Partnerships & Planning.
  • Guide project teams to share a common strategy and performance standards.
  • Monitor progress against milestones and deadlines.
  • Keep the Executive Director Partnerships & Planning informed of progress and bring attention to significant matters.
  • Perform any other duties as required by the hierarchy.

Requirements

  • At least four years' University education.
  • Minimum of 10 years working experience with proven experience in management, including a proven track record in leading diverse teams.
  • Experience in either international diplomacy or strategic policy development and implementation would be an asset.
  • Experience in transformational change, in particular through IT applications (business and artificial intelligence), would be an asset.
  • Experience interacting with member-based international organizations.
  • Fluency in English is required.
  • Proficiency in a second official working language (Arabic, French or Spanish) would be an additional asset.
  • Strong communication skills, both in written and oral form (public speaking and delivery of presentations).
