The role involves managing information services, coordinating facilities management, assisting with travel arrangements, and providing secretarial assistance to two Vice-Presidents within the ICC Presidency.
Responsibilities
- Serve as focal point for the Judiciary, providing assistance on information management services and building access for Judges, Staff, Interns, and Visiting Professionals.
- Communicate on facilities management services to coordinate provision and maintenance of offices, work stations, bibs, and robes.
- Order and maintain stock of business cards, stationery, and printing supplies.
- Collate and maintain records and information including Judiciary staffing tables, organigrams, calendars, and time keeping.
- Provide information and support related to arrival documents, induction, medical insurance, and pensions for newly elected judges in consultation with the Presidency administration team.
- Arrange trips and coordinate transport for events.
- Provide secretarial and administrative assistance to two Vice-Presidents including preparing communications, checking correspondence for accuracy, and coordinating work schedules and meetings.
- Organise and maintain collections of documents for judges and legal staff, including judicial proceedings.
- Coordinate preparations for meetings and events, including documentation distribution.
- Draft routine correspondence for judges as required.
- During a judge’s absence, monitor work-related developments and prepare reading files for their return.
- Monitor incoming mail and prepare routing slips indicating responsible officers and relevant developments.
- Coordinate presence of Chambers’ administrative assistants to ensure adequate cover.
- Serve as backup to other Administrative Assistants in Chambers when required.
- Perform other duties as required.
Requirements
- Completion of secondary education.
- At least eight years of work experience performing administrative and secretarial functions for senior officials involving frequent contact with diplomatic personnel is required.
- An advanced or first-level university degree may be considered as a substitute for two years' working experience only to determine eligibility.
- Excellent secretarial and communication skills including drafting ability and knowledge of office automation systems (e.g. Word, Excel, Records Manager, Transcend, Ringtail) and the Court's protocol.
- Absolute discretion and loyalty.
- Broad general knowledge of the Court's structure and administrative procedures.
- Knowledge of and experience with SAP (an asset).
- Proficiency in one of the working languages of the Court, French or English is required.
- Working knowledge of the other working language is desirable.
- Knowledge of another official language of the Court (Arabic, Chinese, Russian and Spanish) would be considered an asset.
- Candidates appointed to posts at a P-5 grade or in the Director category are subject to a maximum aggregate length of service of seven years.
- The selected candidate will be subject to a Personnel Security Clearance (PSC) process in accordance with ICC policy, including verification of personal history and a criminal record check.
- Post to be filled by a national of a State Party to the ICC Statute, or of a State engaged in the ratification or accession process.
- The ICC aims to achieve fair representation of women and men, representation of principal legal systems for legal positions, and equitable geographical representation for professional category positions.

- The ICC applies the Inter-Organization Mobility Accord and supports secondment of staff from United Nations Common System organizations.
