The Senior Team Assistant Consultant will provide expert-level administrative and managerial support to the Departments of Communications and External Relations within the Office of the Chief Strategy and Impact Officer. The role involves managing administrative processes, internal communication, staff training, and professional representation to ensure efficient departmental operations.

Responsibilities

  • Provide constant administrative and managerial support to the Departments’ management including human resources, budget, and procurement related support.
  • Serve as the Departments’ focal point in communication with other Offices and Departments as necessary.
  • Oversee and contribute to office managerial processes to ensure efficiency, quality assurance, effectiveness, adaptability, and innovation of the Departments’ output.
  • Identify and recommend key areas requiring the Directors’ attention and communicate messages on behalf of the Directors to teams and across Offices.
  • Manage the Directors’ calendar and meeting schedules to optimize time and priorities.
  • Support the Directors’ mission travel arrangements including preparation and logistical coordination.
  • Train new staff on organizational processes to facilitate onboarding and socialization while exemplifying high professional standards.

Requirements

  • Bachelor’s degree, with at least 2 years of relevant experience or equivalent combination of relevant education and experience.
  • Experience in handling logistics for events, workshops, conferences and Board meetings.
  • At least 2 years of supervisory experience in a similar office setting preferred; Previous experience supporting larger teams is required.
  • Formal training in secretarial, clerical, administrative, and/or operational services desirable.
  • Good knowledge of office technology such as MS office package, and experience in working with databases is highly desirable.
  • Demonstrated capacity to adapt quickly in fast turn-around settings, proactively address challenges, and manage multiple high-priority tasks in parallel.
  • Ability to identify priorities, provide sound recommendations, and support decision-making at the leadership level.
  • Strong written and oral communication skills, with capacity to relay messages clearly across teams and divisions.
  • Proficiency in managing calendars, meetings, and travel logistics to optimize the Directors’ time and commitments.
  • Experience in onboarding new staff, transferring knowledge, and reinforcing organizational processes.
  • Demonstrated ability to uphold high standards of professionalism in interactions with internal and external stakeholders.
