The Business Support Assistant (Air-Movement) provides assistance to aviation operations at the field level including aircraft operation, passenger and cargo handling, safety oversight, administrative tasks, and reporting. The role supports flight operations, booking, cargo handling, passenger services, fueling, and safety compliance under the supervision of the Aviation Associate or Officer.

Responsibilities

  • Extract passenger manifest from E-FMA and prepare all flight related packages.
  • Ensure UNHAS Check-in Counter opens 90 minutes prior to flight departure and closes 30 minutes before departure.
  • Verify passengers possess valid flight documentation at check-in.
  • Maintain vigilance of aviation sites and monitor NOTAMs and weather sites.
  • Receive booking requests and book cargo in Takeflite/eFMA.
  • Prepare, sign, distribute and clear loading instructions, load sheets, balance charts, manifests.
  • Compile and dispatch statistics, returns and reports; perform manifest corrections.
  • Coordinate passenger boarding and baggage handling.
  • Ensure correct usage of boarding passes, baggage, cargo labeling and tagging.
  • Handle loss, found and damaged property reports.
  • Assist passengers requiring special attention including MEDEVAC/CASEVAC cases.
  • Coordinate cargo loading with crew members and ensure loading/off-loading in presence of crew if Aviation Associate is absent.
  • Submit corrected passenger manifests after flight dispatch.
  • Maintain communication with Air Operations Coordination Centre and UNHAS Radio Base on flight days.
  • Provide weather, security, airfield condition and fuel availability reports before flight departure if Aviation Associate is absent.
  • Send flight tickets and booking confirmations to agency focal points.
  • Monitor aircraft refueling for quantity, quality, and safety compliance.
  • Ensure fuel testing is performed prior to refueling.
  • Maintain comprehensive filing and reporting of flight operations data.
  • Keep updated UNHAS library and safety advisories for staff reference.
  • Ensure safety measures on ramp including fire extinguisher availability and FOD removal.
  • Inspect cargo/baggage for hazardous materials and ensure safety procedures are followed.
  • Conduct security checks of passengers, luggage, cargo and pouch.
  • Control passenger movement on ramp to avoid safety problems.
  • Carry out additional duties as directed by AO/CATO.

Requirements

  • Completion of secondary school education.
  • Minimum 4 years of experience in aviation industry or in passenger and cargo transportation fields.
  • Fluency (level C) in English and fluency in both oral and written communication in local languages (Pashto/Dari).
  • Ability to perform precise and detailed work and handle a large volume of tasks quickly and accurately with a minimum of supervision.
  • Computer utilization literacy.
  • Ability to work in a team, under tight deadlines or in emergency situations.
  • Prompt information sharing as well as technical action plan and compliance to the existing procedures are vital.
  • Advanced knowledge of UN and WFP Corporate policies, as well as UNHAS, ICAO regulations, policies, rules and procedures in the area of work.
  • Specific applications (EFMA, Indigo Sat track etc.) utilization literacy.
