The Project Assistant will support the implementation of projects under the Democratic Governance portfolio in Indonesia, ensuring quality project outputs in line with UNDP procedures. The role involves administrative support, coordination with stakeholders, and assisting in project reporting and knowledge sharing.

Responsibilities

  • Support effective project planning and implementation by compiling and presenting project data and ensuring compliance with UNDP and government regulations
  • Review project documents for completeness and distribute upon approval
  • Assist in preparing annual and quarterly work plans, project board meetings, audits, and financial closures
  • Support preparation of quarterly project reports and progress reports
  • Provide administrative support including recruitment, travel arrangements, payments, procurement, and security compliance
  • Maintain filing systems, organize meetings and workshops, and handle routine administrative tasks
  • Support gender-sensitive operations policies at the project level
  • Update contact lists of public and development partners and support documentation of project activities for communication and resource mobilization
  • Participate in trainings and contribute to knowledge networks and communities of practice
  • Ensure prioritization of human rights and gender equality in all activities

Requirements

  • Bachelor's Degree with 2 years of experience OR High School certificate with 5 years of experience
  • Experience supporting project implementation and administration
  • Knowledge of UNDP rules and regulations is desirable
  • Ability to coordinate procurement processes, logistics, and travel arrangements
  • Strong communication skills in English
  • Experience in documentation, data collection, and monitoring for knowledge sharing
  • Commitment to gender equality and human rights principles
  • Ability to work collaboratively with programme teams, government officials, and other stakeholders
