The Staff Assistant provides substantive and administrative support to the Office of the Director at the Economic Commission for Africa's Sub Regional Office for Northern Africa. Responsibilities include managing priorities and workflow, coordinating activities, handling communications, organizing meetings and events, and supporting data analysis and information management.

Responsibilities

  • Assists in the overall administration of the Office of the Director, providing substantive and administrative support in managing priorities and workflow
  • Compiles and analyzes basic data from a variety of sources, summarizing and presenting conclusions for review by manager
  • Serves as a communications link between supervisor and senior staff, conveying directives, reports, status updates and other relevant information
  • Takes full responsibility for time management and scheduling on behalf of manager, prioritizing and resolving conflicts
  • Undertakes representational duties on behalf of the manager, serving as first point of contact and liaison with senior officials
  • Screens and prioritizes all incoming correspondence, compiles relevant background documents and monitors follow-up actions
  • Researches, compiles and summarizes background materials for reports, briefs, speeches, and scans reports and media for relevant information
  • Independently handles a wide range of complex information requests and inquiries, drafting responses as needed
  • Supports the manager in presentations to intergovernmental bodies and other meetings, preparing briefing notes, slides and subject files
  • Establishes and improves administrative procedures and systems for the Office of Director
  • Organizes official receptions, meetings, handling all necessary arrangements including room reservations, invitations, catering and documentation
  • Prepares, processes and classifies confidential information
  • Exercises quality control for all outgoing documents, proofreading and editing texts
  • Uses standard word processing software to produce complex documents and reports
  • Manages, updates and develops internal databases and website, generating statistical and other reports
  • Assists with data collection, analysis and preparation of presentations and reports for information sharing and decision making
  • Assists with visualizations and updating information materials such as web pages or brochures
  • Performs other duties as assigned

Requirements

  • High school diploma or equivalent is required
  • A minimum of Seven years of experience in Administration, general office support or related area is required
  • 1 year or more of experience in data analytics or related area is desirable
  • Experience in office management and support to organization of conferences and workshops is desirable
  • Knowledge of International Organizations human, financial and physical management solutions such as ERP systems is desirable
  • Equivalent combination of education and relevant administrative experience is desirable
  • English and French are required at UN Level II for reading, writing, listening and speaking
  • Arabic is desirable at UN Level II for reading, writing, listening and speaking
