See your match score & applyThe Human Resources and Administration Coordinator is responsible for coordinating and supporting HR and administrative functions across the organization, focusing on recruitment, onboarding, performance management, and employee relations. The role involves providing guidance on HR policies and procedures, supporting compliance, and promoting effective HR management practices including field travel to support country programme offices.
Responsibilities
- Support the Senior HR/Administration Manager to develop HR strategy, policy, and procedure for the Country Office.
- Support in the regular review of terms and conditions of employment and policies in line with HR best practices and local laws.
- Maintain and update the Organogram for the Country Office.
- Support line managers in reviewing job descriptions and job evaluation processes.
- Maintain recruitment-related advertising agency database and ensure prompt filling of vacant positions.
- Assist in training line managers on recruitment and ensure compliance with Safer Recruitment practices.
- Ensure proper inductions and follow-up on participation and feedback.
- Develop staffing plans with Country Management Team.
- Prepare employment contracts complying with HR policies and local labour law.
- Manage separation procedures including exit interviews and documentation.
- Serve as a Recruiter using SCI recruitment platforms.
- Ensure implementation of performance management systems and follow up on appraisal cycles.
- Develop and monitor training plans based on performance needs.
- Support team building and provide HR advice to line managers.
- Support safeguarding case management and disciplinary processes.
- Maintain staff register and attendance information, reconcile absence management with Finance.
- Collate payroll information and ensure confidentiality of personnel data.
- Manage medical scheme registration and liaison.
- Prepare monthly leave reconciliation and departmental reports.
- Monitor administration of guest houses, travel, and cleaning.
- Ensure HR information systems are maintained and data quality is high.
- Assist in mediating conflict and grievance cases.
- Comply with Save the Children policies including safeguarding and health & safety.
- Develop and maintain contacts with INGOs, line ministries, and stakeholders.
- Participate in meetings and functions as assigned.
Requirements
- Bachelor’s degree in human resource management, Business Administration, or a related field.
- Minimum of 2 years' experience in a human resources or related role.
- Good understanding of employee relations principles and workplace issues.
- Sound knowledge of Sierra Leone labour and employment laws, as well as best practices in human resource management.
- Excellent interpersonal and relationship-building skills.
- Strong written and verbal communication skills in English.
- Proficient in Microsoft Office applications and able to conduct internet-based research effectively.
- Excellent attention to detail, organizational skills, and ability to handle confidential information with discretion.
- Ability to work independently, take initiative, and manage tasks proactively.
- Proven ability to manage multiple priorities and perform effectively under pressure in a demanding work environment.
