See your match score & applyThe Officer will provide technical and administrative support to ASEAN bodies in political cooperation, including meeting coordination, project implementation, and operational support within the ASEAN Political and Security Community Department. The role involves liaising with ASEAN Member States and Secretariat divisions to facilitate political cooperation initiatives.
Responsibilities
- Provide technical and administrative support to the ASEAN bodies with respect to relevant meetings: Provide the relevant documents and logistics for the meetings; Prepare and/or compile the relevant documents such as briefing notes, talking points, and presentations for the meetings; Take minutes and assist in the rapporteuring work in the meetings; Coordinate the follow-up actions and decisions.
- Provide technical and administrative support with respect to implementation of programmes and projects in the area of political cooperation: Liaise with relevant sectoral bodies and ASEAN Member States on projects and activities in the area of political cooperation; Participate in and provide technical and support for the implementation of projects and activities in the area of political cooperation; Assist in appraising projects, as required.
- Coordinate with relevant divisions in the ASEAN Secretariat, with the Chair/Country Coordinator and other ASEAN Member States: Coordinate with relevant desks within the ASEAN Secretariat in the preparation for the meetings under the purview of the Division; Coordinate the required follow-up actions of the relevant Divisions; Coordinate with the Chair in preparation for respective Meetings and during the Meeting if required, in terms of logistic arrangements.
- Facilitate the requests of ASEAN Member States as required: Compile data for reference; Prepare, compile and maintain data records and documentation of the activities, decisions and initiatives related to the area; Retrieve and provide reports and reference documents at their request.
- Provide operational support for the Division/Directorate/Department: Assist the Head of Division in the preparation of the Division’s annual budget plan; Participate in and contribute to Divisional or Directorate meetings; and Perform other ad hoc tasks as assigned by the Head of Division, Director, and Deputy Secretary-General of APSC, as necessary.
Requirements
- Advanced degree in International Relations, Political Science; and/or Bachelor’s degree in the afore-mentioned fields or discipline with a minimum of two (2) years of relevant work experience in technical role.
- Relevant knowledge and experience in external relations, multilateral or regional cooperation, and the coordination, implementation or monitoring of programmes and projects, preferably gained within a government, diplomatic mission, or international or regional organisation, would be an advantage.
- Excellent command of formal written and spoken English, with demonstrated ability to draft clear, concise, and high-quality briefing materials and reports.
- High-level interpersonal, negotiation and communication skills, including experience in a cross-cultural environment and international settings.
- Strong analytical and organisational skills, with the ability to manage multiple priorities and work accurately under tight deadlines.
- Strong digital literacy and proficiency in Microsoft Office applications (particularly Word, Excel and PowerPoint), Outlook, virtual meeting platforms, and other digital collaboration tools with the demonstrated skill in the effective and responsible use of AI-enabled productivity tools to support research, drafting, analysis, and day-to-day work.
- Demonstrated sound understanding of international and regional issues, knowledge of and commitment to ASEAN ideals, and commitment to public service and to contributing to ASEAN’s work over the duration of the appointment.
- Proven skills in problem-solving in a complex organisational environment and in work planning.
- Ability to multi-task, work long and irregular hours, perform tasks outside the usual job scope, and willingness to travel frequently on short notice.
